We are seeking a highly organized, financially minded, and hands-on Head of Administration & Financial Operations to lead and expand our newly established Administration & Financial Operations department.
Our Canadian operations span Ontario, Saskatchewan, and Alberta, and this position will work closely with management and operational teams across all three provinces. Regular travel to our facilities is expected to develop a firsthand understanding of our operations, people, costs, and business performance.
This is not a traditional administrative position. We are looking for someone who is equally comfortable ensuring payroll, accounts payable, invoicing, and day-to-day administration are completed accurately and on time as they are reviewing financial results, analyzing costs, monitoring EBITDA, and working with management and operations to improve business performance.
The successful candidate will be a self-starter and strong executor—someone who takes ownership, follows through, pays close attention to detail, and is genuinely motivated to get things done.
As the department continues to develop, this individual will have the opportunity to help establish processes, systems, reporting structures, and eventually support the growth of the team.
Key Responsibilities
- Lead and develop the newly established Administration & Financial Operations function.
- Oversee and coordinate payroll, accounts payable, accounts receivable support, invoicing, expense management, and general administration.
- Ensure financial and administrative tasks are completed accurately and within required timelines.
- Support monthly financial reporting, reconciliations, accruals, and month-end activities.
- Review and analyze P&L; statements, EBITDA, operating costs, margins, and financial performance.
- Assist management with budgeting, forecasting, cash-flow planning, and variance analysis.
- Develop practical financial and operational reports, dashboards, and KPIs to support management decision-making.
- Work closely with operations to understand production costs, labour, transportation,
purchasing, maintenance, and other key cost drivers.
- Regularly engage with our operations in Ontario, Saskatchewan, and Alberta, including travel to facilities as required.
- Identify cost-saving opportunities, inefficiencies, and areas where financial or operational performance can be improved.
- Support purchasing, vendor management, documentation, contracts, insurance, and other corporate administrative requirements.
- Improve internal controls, administrative procedures, approval processes, and financial workflows.
- Maintain organized and accurate records and ensure appropriate documentation is available when required.
- Work directly with senior management on financial, administrative, and operational priorities.
- Help build and expand the department as the organization continues to grow.
What We Are Looking For We are looking for someone who combines strong administrative discipline with financial and business acumen.
The ideal candidate will have:
- Education in Finance, Accounting, Business Administration, Commerce, or a related field.
- Relevant experience in finance, accounting, administration, business operations, or a similar role.
- Strong understanding of P&L;, EBITDA, budgeting, forecasting, cost analysis, and financial reporting.
- Practical experience with payroll, AP, invoicing, reconciliations, and general financial administration.
- Strong Excel skills and confidence working with financial and operational data.
- Excellent organizational skills and exceptional attention to detail.
- Ability to manage multiple priorities and follow tasks through to completion.
- Strong analytical and problem-solving abilities.
- A proactive,
hands-on approach and willingness to become involved wherever needed.
- Ability to communicate effectively with management, employees, vendors, customers, and operational teams.
- Experience in a manufacturing, processing, recycling, transportation, construction, or industrial environment would be considered a strong asset.
- Willingness and ability to travel regularly between company operations in Ontario, Saskatchewan, and Alberta.
- A valid Ontario Class G driver's licence and ability to travel independently are required.
