HOUSE MANAGER
Private family residence — south Mississauga
Full-time, live-out · Monday to Friday, approx. 10:00am–7:00pm · $80,000–$100,000 plus benefits
We are a family of five looking for the person who will make our home run beautifully.
We are moving into a large property on the Credit River —over 15,000 square feet with an indoor pool, large garden and extensive mechanical equipment.
This role exists so that one capable, well-organized person is responsible for ensure that the whole house runs smoothly: the calendar, the vendors, the shopping, any events, and a share of the afternoon driving. You would be the first person we call and, more often, the person we never have to call because you have already handled it.
The household
- The family: two parents and three children, the youngest four. Busy weeks — school, sports, music, and a very friendly puppy.
- The team: a long-tenured senior housekeeper/nanny who has been with our family for years, a live-in family assistant, and a roster of contracted services for cleaning, landscaping, pool and general maintenance.
- The rhythm: weekday mornings and late afternoons are the busy windows.
We host dinner parties roughly every other week, usually relaxed rather than formal.
- The house: Security controls throughout, multiple furnaces and air handling units, an indoor pool, and a four-car garage.
What you would own
- The master family calendar — school, activities, appointments, travel, deliveries, trades. You keep it accurate and you keep it ahead of us.
- Vendors and contractors — sourcing, scheduling, supervising, holding to standard, and building the annual maintenance calendar so nothing becomes an emergency.
- Shopping and household inventory — groceries, supplies, household goods, returns. Nothing should ever run out.
- Staff coordination — setting the daily and weekly plan for our housekeeper and family assistant, and arranging back-up cover.
- Entertaining — planning and running our dinner parties and family occasions end to end, including the setup and the reset afterwards.
- Driving — you are one of two afternoon and evening drivers for the children, two late nights a week.
More on this below.
- Household administration — expense tracking against a budget, school and activity paperwork, warranties, service records, and a House Book that documents how everything works.
- The move — if you join us before we move in, the punch list and the settling-in are yours to run.
Who we think will love this There is no certificate we are looking for. The people who we think could do this job brilliantly come from:
- Hotel rooms division, guest services, or private club management
- Restaurant or catering general management
- Senior executive assistant or chief-of-staff work for a demanding head of school/principal
- Property or facilities management, with the proviso that you must genuinely like children
What we are actually screening for, in order:
- Judgment. You decide things. We are hiring you so we make fewer decisions, not more. We expect you to treat our money like your own, negotiate with contractors, use judgement to spend with discretion.
- Warmth. A meaningful part of this job is our four-year-old, our dog, and our colleagues in the house.
- Anticipates issues and resolves them early. When problems arise, presents viable solutions for discussion and executes the agreed-upon plan.
- Follow-through. Things that are said get done, and you tell us before we have to ask.
- Composure. Three trades on site, a pool alarm, a birthday party and a missing tennis bag — same afternoon, no drama.
Two things we want to be plain about Driving is a core duty, not an occasional favour. You will be in the car with our children several afternoons a week, including two evenings that run until about 8:00pm. A full G licence and a clean driving record are essential. If for a one or two hours a couple of days a week is not for you, this is not the right role.
We will pay for your insurance and mileage.
Our housekeeper is senior, long-tenured and much loved. You would set her daily plan; we set her standards and handle her review. A candidate who asks thoughtful questions about how to work alongside her is showing us exactly the judgment we want.
What we offer
- $80,000–$100,000 depending on experience, reviewed annually. We would rather pay well for the right person than compromise.
- Health and dental benefits
- Vacation above the statutory minimum, planned around the family calendar
- Mileage reimbursement for household duties, fully insured;
- Real spending and decision authority, agreed in writing at the outset
- A written contract, proper payroll, and a three-month mutual probation
- A weekly hour with us for the first three months, so you are never guessing
- Predictable weekdays. No overnight travel. Weekends are yours, apart from the occasional planned event.
The process
- A short introductory call — fifteen minutes, mostly about fit and the driving
- An interview with both of us, ideally at the house
- A paid working day, so you can see the real job and we can see you in it
- Two reference calls with former employers, by phone
- Before an offer: a criminal record check with vulnerable sector screening, a driver’s abstract, and a credit check, each with your written consent
To apply, or simply to ask Please send a note about yourself and your CV to the contact below. A few lines about a household or operation you have run, and what you made better about it, tells us more than a cover letter.
If you are not looking yourself but someone comes to mind, we would be grateful for the introduction. Referrals are how roles like this usually find the right person.
Discretion. Enquiries and applications are treated in complete confidence, and we will reply to everyone who writes.
