Our portfolio includes more than 40 commercial and residential properties, approximately a dozen renowned hotels, as well as one of the largest tennis clubs in North America.
Following the implementation of our new integrated human resources, time management, and payroll system, we are creating an HRIS Specialist position to continue stabilizing and, above all, enhancing our HRIS environment.
Reporting to the Human Resources Department, you will become our internal subject matter expert and primary resource for UKG. Your role will go well beyond user support: you will contribute directly to the administration, configuration, and optimization of the platform, data reliability, and the automation of our processes.
You will work closely with the Payroll and Benefits team, which handles the day-to-day operational management of UKG, as well as with the HR and Finance teams and managers across our various properties.
YOUR ROLE
As an HRIS Specialist – UKG, your responsibilities will include:
- Administering, configuring, and enhancing UKG, including UKG Pro, Workforce Management (WFM), and Onboarding: business rules, settings, access rights, security profiles, and other functional components;
- Creating and optimizing workflows and automations to streamline processes, strengthen controls, and reduce manual tasks;
- Collaborating on integrations between UKG and the organization’s and its vendors’ other systems, including monitoring interfaces, troubleshooting data exchanges, and resolving issues;
- Ensuring HRIS data integrity through audits, validations, and controls, identifying the source of discrepancies, and contributing to their long-term resolution;
- Developing and improving HR reports, dashboards, and key indicators, particularly related to headcount, employee movements, turnover, and organizational charts, in order to support the HR, Payroll, and Finance teams, as well as managers;
- Working closely with the Payroll and Benefits team to analyze and resolve issues related to employee records, time management, payroll, and benefits, particularly when UKG configuration or data may have an impact on payroll;
- Analyzing and resolving UKG issues at their source, performing the necessary troubleshooting, and coordinating follow-ups with UKG or other vendors when required;
- Translating operational needs into concrete HRIS solutions, whether through configuration, workflows, automation, reporting, or process improvements;
- Acting as an HRIS advisor to the organization by staying informed about new UKG features and modules, assessing their impact and added value, and recommending the solutions to prioritize;
- Participating in the testing and deployment of new configurations, features, integrations, or modules, and maintaining clear documentation of key configurations and procedures;
- Promoting the adoption and continuous improvement of UKG by supporting users and continuously identifying ways to make the platform and processes simpler, more reliable, and more efficient.
THE PROFILE WE ARE LOOKING FOR Above all, we are looking for someone who enjoys understanding how and why a system works, identifying the root cause of an issue, and finding sustainable solutions.
- You have at least two (2) years of relevant experience in HRIS, payroll systems, functional administration of HR systems, or comparable roles;
- You have an educational background in human resources, business administration, information systems, data analysis, payroll, or a related field;
- You have experience with an HRIS and are comfortable with functional configuration, business rules, workflows, and process improvement. Knowledge of UKG, particularly UKG Pro or WFM, is a significant asset;
- You understand the interactions between employee data, time management, payroll, and benefits, as well as the principles surrounding system integrations and data exchanges;
- You are recognized for your troubleshooting skills: analyzing an issue, identifying its root cause, and proposing a sustainable solution rather than simply correcting the symptoms;
- You are proficient in Excel and comfortable with data analysis and validation, reporting, and dashboards;
- You are able to understand user needs, challenge existing ways of working when necessary, and translate those needs into simple and effective functional solutions;
- You are bilingual in French and English in order to collaborate with our teams in Quebec, elsewhere in Canada, and in the United States, as well as with our international vendors;
- You demonstrate rigour, autonomy, curiosity, and strong attention to detail, while being comfortable working in a dynamic workplace where priorities may change quickly.
