Reporting to the HSE Manager, the HSE Administrator is responsible for supporting a key organizational project involving the migration of employee profiles and health, safety & environment documentation to a new HSE Management System records management platform. This temporary full-time position is anticipated to last approximately 4 to 5 months, with the duration tied to the successful completion of the project.

This role combines both routine, detail-oriented tasks and a variety of administrative responsibilities, requiring the ability to manage established processes while adapting to evolving project needs. A significant portion of this position involves repetitive, process-driven work, making it well-suited to an individual who is self-motivated, highly organized, comfortable working independently, and able to maintain a high level of accuracy and attention to detail when performing consistent tasks over extended periods.

The successful candidate will ensure data accuracy and compliance with company policies and applicable legislation, resolve routine administrative and operational issues within established guidelines, and escalate matters outside defined procedures when required. They will also identify opportunities to improve work processes, applying sound judgment, initiative, and a continuous improvement mindset to support project objectives and departmental goals.

Primary responsibilities include, but are not limited to:

- Supporting the implementation and administration of our new Health, Safety & Workplace Management System (HSEMS) records management platform.
- Exporting employee records, reports, and documentation from the current HSEMS records system.
- Importing employee records, reports, and documentation into the new HSEMS records system while ensuring accuracy and completeness.
- Assisting with the organization and maintenance of health, safety & environment documentation and records.
- Creating, maintaining, and organizing employee and location profiles within the new records management system.
- Providing guidance and training to team members on the use of the new records system.
- Conducting data validation and quality assurance checks to ensure record accuracy.
- Other administrative duties as required.

Qualifications:

- Minimum of 2 years of administrative experience, preferably in records management, compliance, health, safety & environment, or project support environment.
- Experience working with data migration,



records management systems, or software implementation projects is considered an asset.
- Demonstrated advanced proficiency with Microsoft Office Suite and Adobe Acrobat, particularly Excel, Word, and PowerPoint, with the ability to efficiently manage and organize large volumes of information.
- Strong attention to detail and a proven ability to perform high-volume, repetitive data entry and administrative tasks while maintaining a high degree of accuracy and consistency.
- Ability to work independently, manage priorities effectively, and remain focused and productive when carrying out routine, process-driven work with minimal supervision.
- Strong aptitude for learning and utilizing new technologies and digital systems; experience managing electronic records, databases, or document management platforms is considered an asset.
- Excellent organizational and time-management skills, with the ability to manage competing priorities and meet deadlines.
- Proven ability to work independently while collaborating effectively with cross-functional teams.
- High level of integrity, confidentiality, accountability, and professionalism.
- General knowledge of health, safety & environment legislation is considered an asset.

Work Schedule: Monday to Friday; 7:30 am to 4:30 pm.
