We are looking for someone who can do both — own our recruitment and people processes while also stepping into our scheduling operation and helping keep it tight. You'll be joining an existing scheduling team, so you won't be doing this alone. Ideally you've worked in home care or a related healthcare setting, so you already know what it's like when a caregiver calls in sick at 6 a.m. You know the juggle. You've lived it.

This role is full-time and fully in-person. You'll be based out of our Edmonton office and out in our facilities — this isn't a desk-only job, and you'll be spending real time where the care actually happens.
Scheduling Responsibilities
- Unified Schedule Management: Manage and maintain one centralized schedule for all community and facility-based clients.
- End-of-Day Finalization: Finalize and distribute the confirmed schedule for the following day’s morning and night shifts before finishing your day at 4:00 PM.
- Strategic Matching: Ensure continuity of care by pairing the right caregivers with the right clients based on specific skill sets, availability, and client needs.
- Real-Time Problem Solving: Handle call-ins, cancellations, and shift swaps quickly and calmly. If something unexpected comes up—whether during the workday or on your scheduled on-call weekend—you are responsible for responding and ensuring all shifts remain covered.
- Clear Communication: Promptly relay schedule changes to caregivers, clients, and the broader internal scheduling team so everyone remains on the same page.
- On-Site Engagement: Travel between our Edmonton-area facilities to connect directly with caregivers, support coverage needs, and stay closely tied to day-to-day operations.
HR Responsibilities
- Job Postings: Write and manage job listings on Indeed and other platforms to attract people who actually care about the work, not just the paycheque.
- Inquiry Management: Answer incoming phone calls and field questions related to hiring, employment opportunities, and application statuses.
- System Navigation: Work confidently within our company software systems to maintain accurate scheduling, HR, and employee records.
- Interviewing & Selection: Review applications and conduct interviews with a focus on fit, values, and reliability.
- Onboarding Experience: Guide current hires through onboarding so their first experience with us is a great one.
- Documentation & Contracts: Manage employment onboarding paperwork, including offer letters, contracts, and tax forms.
- Benefits Administration: Coordinate benefits enrollment documents and ensure new hires complete them on time.
- Policy Management: Maintain and communicate company policies, the employee handbook, and the code of conduct.
- Compliance: Handle compliance and legal documentation to keep us aligned with employment regulations.
- Payroll Setup: Process payroll setup forms and ensure accurate, timely payment for all staff.
- Background Checks: Conduct background checks and maintain verification records.
- Time-Off Management: Manage time-off requests, ensuring they're approved fairly and coordinated with the scheduling team to avoid coverage gaps.
- Employee Relations: Support current staff through questions, concerns, and day-to-day HR matters.
- Process Improvement: Help build and improve the people systems that keep everything running as we grow.
Schedule & On-Call
- Monday through Friday: On-site, split between our Edmonton office and our facilities. Regular travel between locations is part of the role, so you'll need a reliable way to get around the city.
- Weekend On-Call: You will be on-call one weekend every five weeks. During this weekend, you are responsible for monitoring the schedule, answering client inquiries, redirecting concerns, responding to unexpected call-ins, and ensuring total coverage for our clients.
Skills & Qualifications
- Previous experience in home care, continuing care, or a related healthcare setting is strongly preferred — you understand the pace, the complexity, and the stakes when a shift doesn't get covered.
- Scheduling or coordination experience, ideally in a home care or healthcare environment.
- A degree or diploma in Human Resources, or meaningful equivalent experience.
- Hands-on recruitment and onboarding experience — you've done this, not just read about it.
- Comfortable learning and using various digital platforms, including scheduling software, HR databases, and Indeed.
- Familiarity with Alberta employment standards and HR best practices.
- Excellent written and verbal communication in English — this role writes offer letters, policies, and job postings, and speaks daily with caregivers, clients, and families, so a high standard of clarity and professionalism is essential.
- Strong interpersonal skills with the ability to build trust with caregivers, clients, and colleagues.
- A calm, grounded presence — someone who stays steady under pressure and solves problems without creating new ones.
- A valid Alberta driver's license and access to a reliable vehicle — you'll be moving between our facilities regularly.
- Ability to work independently while managing multiple priorities across scheduling, recruitment, onboarding, and staff support.
