Heritage Family Dental is seeking an organized, patient-focused Hygiene Coordinator to manage and optimize our hygiene department schedule. This role is central to keeping our recall system running smoothly, supporting our hygiene team, and ensuring patients receive timely, consistent preventive care.

Key Responsibilities

- Manage and maintain the hygiene recall system, ensuring patients are scheduled for their recommended recare intervals
- Build and optimize the daily/weekly hygiene schedule to minimize gaps and maximize chair utilization
- Contact patients who are due or overdue for hygiene appointments via phone, text, and email
- Confirm upcoming hygiene appointments and manage the cancellation/no-show list to fill openings promptly
- Coordinate with hygienists and dentists on treatment planning follow-through (e.g., periodontal therapy, fluoride, sealants)
- Track and report key hygiene metrics (recall effectiveness, production per hygiene hour, schedule gaps)
- Communicate with patients regarding insurance coverage and treatment estimates related to hygiene services
- Assist with patient check-in/check-out for hygiene appointments as needed
- Maintain accurate patient records and documentation in the practice management software

Qualifications

- Previous experience in a dental office required; experience in a hygiene coordinator,



treatment coordinator, or front desk role preferred
- Familiarity with dental practice management software (e.g., Tracker, Dentrix, Open Dental, or similar)
- Strong understanding of dental terminology and hygiene recall protocols an asset
- Excellent communication and interpersonal skills, with a friendly and qualified phone manner
- Highly organized with strong attention to detail and follow-through
- Ability to multitask in a fast-paced workplace
- Comfortable with basic insurance/billing concepts related to hygiene treatment
- A team-oriented attitude and genuine interest in patient care
