We are seeking a Legal Assistant to join our Calgary office. In this role, you will provide administrative and transactional support to two partners based in Calgary and two lawyers based in Vancouver, while contributing to the efficient operation of a collaborative, multi-office team setting. The successful candidate will support lawyers practicing in the areas of corporate and commercial law, including business acquisitions and sales, corporate reorganizations, financings, commercial real estate, and other business matters.

Work location: 333 7 Ave SW #800, Calgary (Alberta) T2P 2Z1

This is a full-time, on-site position based in our Calgary office.

Key responsibilities

- Prepare, draft, edit, and proofread correspondence, letters, agreements, and other business documents.
- Respond to client inquiries and assist with billing follow-up.
- Coordinate business purchase and sale transactions, corporate reorganizations, equity and debt financing transactions,



and other corporate and commercial matters from initiation through closing.
- Prepare and organize transaction documentation, closing checklists, signature packages, and closing books.
- Support start-up and private company clients with incorporations, organizational documents, annual maintenance requirements, and other routine corporate matters.
- Manage calendars, meetings, travel arrangements, client contact lists, files, and billing-related activities.
- Process invoices, expense reports, lawyer time entries, and other administrative records.
- Conduct corporate, land title, and other searches required in connection with corporate and commercial matters.
- Assist with incorporations, annual maintenance filings, corporate record management, and minute book updates.
- Perform procedural and administrative tasks related to firm operations, including obtaining tax identification numbers and similar registrations.
- Assist with client onboarding, data entry, and the maintenance of accurate records and databases.
- Monitor deadlines, track outstanding items, and ensure timely follow-up on administrative requirements.
- Coordinate administrative communications and follow-ups with Prelia offices across Canada.
- Communicate professionally with clients, financial institutions, government agencies, and third-party service providers.
- Scan, photocopy, file, archive, and organize electronic and physical documents.
- Maintain the accuracy, integrity, and organization of information contained in internal systems and databases.
- Provide general administrative support and assist with special projects and other operational initiatives as required.

Qualifications and Skills

- Two (2) years of experience in a law firm in an administrative, legal support,



or professional support capacity.
- Demonstrated ability to learn new areas of practice quickly, adapt to changing priorities, and work independently in a fast-paced professional environment.
- Experience with billing, expense management, document management, and client file administration.
- Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities, with the ability to manage multiple priorities and meet deadlines.
- Exceptional attention to detail and commitment to accuracy.
- Strong problem-solving skills, sound judgment, initiative, and a proactive approach to work.
- Professional, client-focused, adaptable, and able to maintain confidentiality and exercise discretion.
- Experience supporting corporate/commercial transactions, business acquisitions and sales, corporate reorganizations, financings, commercial real estate matters, or corporate records management is considered an asset.
- Knowledge of SEDAR+, SPIN II, CORES, and/or APPRES is considered an asset.
