Drummer Realty & Property Management is currently seeking an experienced Maintenance Coordinator to join our team. This is a fast-paced, hands-on role responsible for coordinating maintenance and repair requests across a portfolio of 700+ residential units.

The Maintenance Coordinator is a key point of contact between tenants, vendors, condominium management, property owners, and our internal team. This position requires someone who is highly organized, an excellent communicator, comfortable managing a high volume of requests, and committed to seeing maintenance issues through from initial request to completion.

We are looking for an experienced professional who can confidently prioritize competing demands, remain calm under pressure, and provide exceptional service while keeping repairs moving efficiently.

Job Duties & Responsibilities

- Receive and manage a high volume of incoming maintenance and repair requests through the resident portal, email, phone, and in person.
- Review and assess maintenance requests to determine the appropriate course of action and level of urgency.
- Dispatch the appropriate vendor as needed, while balancing urgency, quality, and cost.
- Coordinate access and notices of entry with tenants when required.
- Confirm receipt of maintenance requests and keep tenants and other applicable parties informed of scheduling, progress, and completion.
- Coordinate with condominium management on repairs that fall under their responsibility and obtain required approvals for appliance deliveries.
- Proactively follow up on outstanding work orders to ensure repairs are completed in a timely manner.
- Follow up with tenants and vendors to confirm repairs have been completed properly and satisfactorily.
- Maintain accurate and up-to-date records of maintenance requests, work orders, scheduling, communications, and completion status across company systems.




- Review maintenance invoices for accuracy, approve as appropriate, and promptly forward approved invoices to accounting.
- Assist the team with completing property inspections (during downtimes) and document findings using a mobile inspection app.
- Participate in the after-hours emergency phone rotation for one week at a time, currently shared among three other staff members.
- Attend managed properties as needed to assess maintenance concerns, repairs, and property damage.
- Build and maintain professional working relationships with tenants, owners, vendors, condominium management, and coworkers.
- Provide a high level of customer service while professionally managing difficult or time-sensitive situations.
- Perform other related duties as requested by management.

Qualifications & Requirements

- High school diploma with post secondary program.
- Minimum 2 years of experience in maintenance coordination, property management, or a similar role.
- Must have own, reliable vehicle.
- Strong organizational and time-management skills with the ability to prioritize and manage multiple requests simultaneously.
- Excellent written and verbal communication skills with fluency in English.
- Strong customer-service and interpersonal skills.
- Ability to work effectively under pressure and remain calm and professional in high-stress situations.
- Strong problem-solving skills and the ability to make sound decisions when determining the appropriate course of action for maintenance issues.




- Ability to work independently with minimal supervision while remaining accountable for assigned responsibilities.
- Strong attention to detail and a demonstrated ability to follow through on outstanding items.
- Comfortable working with technology, online systems, and multiple computer programs, including Microsoft Outlook and Excel (experience with Yardi considered a strong asset)
- Ability to type a minimum of 50 words per minute with accuracy.
- Ability to understand and follow instructions accurately.
- Reliable attendance and punctuality are essential to this position.

Hours & Availability This is primarily an in-office position, that will also require visits to managed properties as necessary. With regular working hours of 8:30 a.m. to 4:30 p.m (Mon thru Fri).

Occasional overtime may be required during periods of increased workload or urgent maintenance situations. And as noted above, participation in the after-hours emergency phone rotation is a requirement of the position.
