Waterloo Region Retina Institute is looking for a Front Desk Receptionist to join our growing ophthalmology practice. In this role, you will work closely with our physicians and clinical team to provide patients with a welcoming, professional, and attentive experience from the moment they arrive.
This is an excellent chance for a dependable, organized, motivated individual who would like to play an important role in the continued growth of a new specialty eye clinic. As one of the primary faces of Waterloo Region Retina Institute, you will help ensure that our clinic operates efficiently while providing exceptional administrative and patient support.
The successful candidate will be comfortable working in a busy medical environment, coordinating patient interactions, maintaining accurate electronic medical records, and assisting the clinical team as required. Previous experience working in a medical office is preferred but is not required.
This is a permanent part-time position, currently consisting of 2 days per week between Tuesday and Friday, with opportunities to pick up additional shifts as needed.
Responsibilities
- Serve as a primary point of contact for patients throughout their visit to the clinic
- Coordinate patient arrivals and departures, answer enquiries, process payments, and manage incoming telephone calls
- Register patients accurately and ensure demographic information, insurance details, and required consents are complete and up to date
- Maintain accurate and organized patient and medical records, including scanning and uploading documentation to electronic charts
- Ensure required peri-operative documentation and forms are complete and properly organized
- Assist physicians and technicians in maintaining efficient patient flow through the clinic
- Support clinical activities when required, including room/lane loading, patient intake and work-up, and diagnostic testing
Qualifications and Skills We are looking for someone who reflects our commitment to integrity, respect,
compassion, and patient-centred care. The ideal candidate will demonstrate the following:
- Previous experience in an ophthalmology or optometry setting is considered an asset, but is not required
- Familiarity with Electronic Medical Record (EMR) systems, including OSCAR, is an asset, but is not required
- A post-secondary degree or diploma in business administration, office administration, or a related field is considered an asset, but is not required
- Demonstrated ability to work effectively and independently in a busy, fast-paced environment
- A commitment to providing a compassionate, professional, and high-quality patient experience
- Strong verbal and written communication skills
- Professional and courteous telephone manner
- Strong computer and technology skills, including typing, email, and Microsoft Excel
- Excellent attendance and a reliable employment history
- Knowledge of medical terminology is considered an asset

Compensation
$21–$25 per hour, commensurate with experience.
Clinic Hours
Tuesday to Friday, 8:00 a.m. to 4:00 p.m.
