We are seeking a front desk receptionist to provide warm and attentive administrative care alongside our doctors. This is an ideal opportunity for hard-working, organized, and self-motivated individuals to be a foundational component and the face of our new clinic, Waterloo Region Retina Institute. The ideal candidate will provide exceptional administrative support within a busy ophthalmology practice, ensuring smooth daily operations.
This role involves managing patient interactions, maintaining electronic medical records, and supporting clinical staff to deliver high-quality patient care. Prior experience in a medical office settings is preferred.
This is a permanent part-time position, currently for 2 days per week between Tues-Friday, with the potential to pick up additional shifts.
Responsibilities
- Be the first point of contact for patients during their clinic experience
- Manage patient check-ins, departures, enquiries, payments and phone calls
- Accurately register patients by obtaining complete demographics, insurance information, and consents
- Maintain attention to detail for all patient and medical records including scanning documents into patient charts and ensuring all peri-operative forms are in order
- Support technicians and doctors with clinic flow involving lane loading, intake and working up patients, and diagnostic testing as needed
Skills We are looking for individuals that exemplify our mission, vision and values of integrity, respect and compassion. Requirements are as follows:
- Experience working in the ophthalmic/optometric industry is an asset,
but not mandatory
- Proficiency in Electronic Medical Records (EMR) systems such as OSCAR is an asset, but not mandatory
- Post-secondary degree/diploma in business or office administration or related field is an asset, but not mandatory
- Proven ability to work proficiently and independently in a fast-paced environment
- Demonstrate high quality, compassionate, and patient-centered experience
- Strong written and verbal communication skills
- Excellent telephone etiquette
- Proficiency in technology and computers systems including typing, e-mail, and Excel
- Excellent attendance and employment record
- Robust understanding of medical terminology an asset

Pay Range: $21-$25/hr commensurate on experience
We are open: 8-4pm, Tuesdays to Fridays
