Job Overview

We are seeking a reliable, organized, and professional Office Administrator to support our day-to-day office operations. The successful candidate will be responsible for managing administrative tasks, maintaining accurate records, assisting customers and staff, coordinating schedules, and ensuring the office operates efficiently.

The ideal candidate is detail-oriented, has strong communication and computer skills, and can effectively manage multiple tasks in a fast-paced professional environment.

Duties and Responsibilities

- Manage front desk operations, greet visitors, and handle incoming calls using a multi-line phone system.
- Provide qualified and friendly customer service by phone, email, and in person.
- Perform accurate data entry and maintain digital and paper records.
- Use Microsoft Office, Google Workspace, and QuickBooks for administrative and bookkeeping-related tasks.
- Organize and maintain filing systems for easy access to documents.
- Schedule appointments, meetings, and calendars as required.
- Prepare, format, and proofread correspondence, reports, and other documents.
- Process and organize invoices, receipts, and basic financial records when required.
- Assist with patient/client records, insurance information, and billing procedures where applicable.
- Perform general clerical duties, including photocopying, scanning, printing, and document management.




- Monitor office supplies and assist with inventory management.
- Support other administrative staff and departments with daily office tasks.
- Maintain confidentiality and handle sensitive information professionally.

Qualifications and Experience

- Previous experience in an office administration or clerical role is preferred.
- Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Experience with QuickBooks is an asset.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Professional telephone etiquette and customer service skills.
- Basic computer, data entry, document formatting, and proofreading skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Experience in a medical or dental office is an asset but not required.
- Ability to work independently as well as part of a team.
- Professional, dependable, and positive attitude.
