Office Coordinator The Office Coordinator is responsible for planning and coordinating all aspects of the organization’s training programs, COR®/SECOR®, NCSO®/NHSA™, ensuring smooth office operations alongside general administrative duties.
Organizational Relationships
Reports to: Chief Executive Officer
Responsibilities
- Develop and maintain the training schedule.
- Manage databases for all in-house training conducted by Consultants.
- Manage inventory and procurement of materials for in-house training.
- Package and dispatch training and resource materials to members.
- Coordinate audit schedules and track audits conducted by consultants.
- Confirm training dates with students and Consultants.
- Maintain accurate student data in the BisTrainer database.
- Provide troubleshooting support for BisTrainer to Consultants and members.
- Serve as a liaison between HCSAS and other associations (e.g., RCA, SHCA) regarding training logistics.
- Perform general office duties including supply management, contractor meetings, and responding to inquiries via email, phone, and in meetings.
- Process internal COR®/SECOR® audits into Calvin/BIS Trainer.
- Create COR®/SECOR®, NCSO®/NHSA™ certificates and letters of good standing.
- Send out audit reminder emails monthly.
- Invoice external audit expenses for non-members and process payment.
- Send out external audit contracts to non-members.
- Process NCSO®/NHSA™ applications and approve them. Schedule exams, proctor exams,
invoice and process payment for non-member application fees.
- Serve as part of the NCSO® committee and attend meetings.
- Co-facilitate monthly consultant meetings with the Lead Safety Program Consultant.
- Manage lending out Bulex Fire Simulator and Sound Meters.
Skills and Knowledge
- Proficiency in Microsoft Office 365 (Word, Excel, Teams, SharePoint, etc.) and Calvin.
- Experience in office management.
- Commitment to ongoing learning and career development.
- Strong organizational skills with the ability to multitask, problem solve and meet deadlines.
- Familiarity with HCSAS training content and the safety/heavy construction industry.
- Competence in various office tasks such as filing, shredding, and effective communication (email, phone, in person, virtual).

Pay: $55,000.00-$70,000.00 per year
