Job Summary
Cottages of Port Stanton at Bayview Wildwood Resort is seeking a highly organized, independent, and hands-on Onsite Fractional Ownership Manager to oversee the day-to-day administration and coordination of 18 fractional ownership cottages located at the resort.
This position serves as the primary onsite contact for fractional cottage owners and their guests and works closely with Bayview Wildwood Resort leadership and operational departments to coordinate services, address concerns, and maintain a high standard of cottage presentation and owner and guest experience.
The role combines owner relations, cottage operations, housekeeping coordination, maintenance coordination, sales support, and general administration. The successful candidate will be comfortable working independently, taking a hands-on approach when required, and coordinating with Housekeeping, Maintenance, Front Office, Food & Beverage, Recreation, contractors, suppliers, and other resort departments.
The Manager will also regularly review cottage inventories and supplies, identify replenishment needs, place approved orders, and ensure cottages are appropriately stocked for incoming owners and guests.
Key Responsibilities
Fractional Ownership & Owner Relations
- Serve as the primary onsite contact for the 18 fractional ownership cottages and their owners.
- Build and maintain positive, professional relationships with owners and their guests.
- Respond to owner inquiries, requests, concerns, and feedback in a timely and professional manner.
- Communicate relevant property updates, schedules, operational notices, and other information to owners.
- Coordinate owner requests with the appropriate Bayview Wildwood Resort department or manager.
- Assist with owner meetings by coordinating schedules, preparing materials, documenting action items, and following up as required.
- Maintain organized ownership records, correspondence, requests, and follow-up items.
- Balance individual owner needs with resort policies, operational requirements, and service standards.
Cottage Operations & Changeover
- Oversee the day-to-day operational requirements of the 18 fractional ownership cottages.
- Work closely with Housekeeping on Friday changeover days to ensure cottages are prepared for incoming owners and guests.
- Complete hands-on cottage inspections after the Housekeeping team has completed its scheduled work.
- Assess cleanliness, presentation, supplies, general condition, damage, and outstanding maintenance requirements.
- Identify any items that require additional attention before the cottage is occupied.
- Address minor issues directly where appropriate and within the scope of the position.
- Communicate housekeeping concerns to the Housekeeping team and maintenance requirements to the Maintenance Manager or appropriate Maintenance team member.
- Track outstanding items and follow up to ensure cottages are ready for incoming owners and guests.
- Maintain appropriate records of inspection findings and outstanding follow-up requirements.
- Identify recurring cottage concerns and recommend improvements to cottage standards, processes, or service delivery.
Friday is a key cottage changeover day. As the Housekeeping team completes the cottages and scheduled work, the Manager will conduct hands-on cottage inspections to ensure each cottage is ready for the incoming owner or guest. This includes identifying and addressing outstanding housekeeping, presentation,
supply, damage, or maintenance concerns. Where an issue falls within the scope of the role, the Manager may address it directly; otherwise, the Manager will coordinate with the Maintenance Manager to ensure it is followed up. On Saturdays, the Manager will provide guest support and conduct follow-up calls as required to address concerns or outstanding needs identified during guest stays.
Guest Support & Follow-Up
- Conduct Saturday follow-up calls as required with owners or guests following their stays.
- Check in regarding concerns, outstanding requests, or issues that may require further attention.
- Coordinate guest concerns with Housekeeping, Maintenance, Front Office, or other appropriate departments.
- Follow up on outstanding matters to ensure appropriate action has been taken.
- Maintain a high level of responsiveness and professionalism when dealing with owner and guest concerns.
- Identify recurring guest concerns and communicate opportunities for improvement to resort leadership.
Maintenance & Property Coordination
- Identify maintenance and preventative maintenance requirements through regular oversight and cottage inspections.
- Communicate maintenance requirements to the Maintenance Manager and assist with coordinating and tracking outstanding work.
- Address minor property or maintenance issues directly where appropriate and within the scope of the role.
- Coordinate contractor access and scheduling for approved work.
- Obtain and organize contractor or supplier quotations when requested.
- Maintain records of outstanding maintenance requests and follow up on project status.
- Assist with approved property projects and operational initiatives.
- Where appropriate, assist with basic hands-on tasks such as minor carpentry, painting, landscaping, water system maintenance, or light plumbing.
- Work in partnership with the Maintenance Manager to support the condition and upkeep of the fractional ownership cottages.
- Identify opportunities to improve cottage condition, preventative maintenance, presentation, and operational efficiency.
Sales & Ownership Administration
- Provide onsite and administrative support related to the sale of fractional ownership cottages.
- Respond to prospective owner inquiries and coordinate appointments and property viewings.
- Assist with cottage tours and prospective owner visits.
- Coordinate with management and ownership representatives throughout the sales process.
- Prepare, organize, distribute, and maintain ownership-related documentation.
- Assist with the coordination and completion of purchase agreements, forms, disclosures, and other ownership documentation as required.
- Maintain accurate records relating to prospective owners, ownership inquiries, and completed transactions.
- Maintain confidentiality when handling ownership, sales, contractual, and personal information.
Administrative & Resort Coordination
- Maintain organized ownership, operational, contractor, project, and financial records.
- Assist with invoice tracking, quotations, contracts, budgets, and project administration.
- Prepare reports, correspondence, meeting materials, and other documentation as required.
- Coordinate meetings and follow-up actions involving owners, resort departments, contractors, suppliers, and other stakeholders.
- Work closely with Bayview Wildwood Resort leadership to coordinate services and resolve issues affecting fractional owners and their guests.
- Coordinate with Housekeeping, Maintenance, Front Office, Food & Beverage, Recreation, and other departments as required.
- Support resort leadership with special projects and operational initiatives.
- Identify opportunities to improve communication, documentation, processes, and service delivery.
- Maintain confidentiality and professionalism when handling owner, financial, contractual, employee, and property information.
Team & Workplace Responsibilities
- Follow all company policies, procedures, and regulatory requirements outlined in the employee manual.
- Maintain positive and professional working relationships with team members, owners, guests, contractors, suppliers, and resort leadership.
- Demonstrate accountability, initiative, sound judgment, and strong independent work habits.
- Represent Cottages of Port Stanton and Bayview Wildwood Resort in a professional manner.
- Support other departments when operationally required.
Required Qualifications
- Secondary school diploma or vocational equivalent.
- Minimum 2 years of experience in property management, hospitality operations, resort administration, condominium/fractional ownership, or a related field.
- Strong administrative and organizational skills with the ability to manage multiple priorities and follow-up requirements.
- Excellent communication, interpersonal, customer service, and problem-solving skills.
- Proven ability to work independently and exercise sound judgment.
- Strong attention to detail and ability to identify housekeeping, presentation, operational, and maintenance concerns.
- Comfortable conducting property inspections and working in a hands-on operational environment.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Reliable transportation.
- Ability to work collaboratively with multiple resort departments while independently managing assigned responsibilities.
Preferred Qualifications
- Experience in a resort, hotel, condominium, fractional ownership, or similar property environment.
- Experience conducting property or quality-control inspections.
- Experience coordinating contractors, suppliers, or facility-related services.
- Experience supporting sales or ownership transactions.
- Knowledge of property management software and systems.
- Basic maintenance knowledge and practical experience.
- Small Water Systems certification or related experience would be considered an asset.
This is a non-unionized management position. The position is not covered by the collective agreement between Bayview Wildwood Resort and Unifor Local 1411. Training in all vocational aspects of the role is provided.
