About the Role The Operations & Administration Manager supports the efficient operation of The Northern Miner Group through sales administration, executive support, office administration, operational reporting, client support, accounting coordination, and event logistics. This role serves as a key cross-functional resource, working closely with leadership, sales, accounting, editorial, production, and external partners to support effective day-to-day operations.

Sales Operations & Commercial Support
- Administer CRM activities, including creating and maintaining products, opportunities, and sales-related records, to support the sales team and revenue-generating initiatives.
- Coordinate insertion orders and package setup within the CRM platform for TNMG and other broader EarthLabs sales and advertising programs.
- Assist with the administration and delivery of advertising and sponsorship packages.
- Support key client relationships and provide administrative coordination for strategic accounts.
- Conduct monthly audits to ensure closed sales opportunities are supported by signed agreements and required documentation.
- Prepare and distribute weekly and monthly sales and advertising analytics performance reports.
- Support video interviews and sponsored content programs by coordinating schedules, client communications, production requirements, and performance reporting.
- Provide backup support for subscription services, customer support, CRM approvals, and other commercial processes.
Executive Administration
- Provide executive support to the President of The Northern Miner Group, including calendar management, travel arrangements, executive correspondence, and expense reporting.
- Assist with board presentations, executive reports, and business documentation.
- Coordinate document reviews, approvals, and signature processes.
- Support leadership with sales reporting and business performance reporting as required.
Office & Administrative Management
- Oversee daily office administration for TNMG and support EarthLabs operations, serving as a primary internal contact for administrative matters.
- Coordinate onboarding support for new employees and contractors.
- Manage distribution lists, group email accounts, courier services, and other administrative resources.
- Coordinate office supplies, mailroom operations, shipping and receiving, and publication distribution.
- Participate as an EarthLabs JHSC member, conduct workplace inspections and coordinate related administrative activities.
- Collaborate with cross-functional teams to improve processes, reporting, and operational effectiveness.
Accounting & Financial Administration Support
- Assist with expense allocations for EarthLabs Media / TNMG and provide supporting documentation.
- Update contract deliverable status to support Accounts Receivables with invoicing.
- Coordinate weekly cheque deposits and other administrative banking activities.
Events & Trade Show Coordination
- Coordinate logistics, exhibitor registrations, sponsorship administration, and communication for conferences, trade shows, and corporate events.
- Negotiate and renew contra and partnership agreements.
- Coordinate procurements, event materials and furnishings, shipments, and marketing materials.
- Ad Hoc Duties
- Support projects and operational initiatives assigned.
You'll need to be/have... (Qualifications)
- Post-secondary education or higher in business administration or a related field is an asset.
- 3+ years of experience in business administration, executive support,
office management, sales operation, or a related role is preferred.
- Experience administering CRM systems such as Odoo or Salesforce, and maintaining accurate sales and client opportunity records is an asset.
- Tech-savvy and strong proficiency in Microsoft Office.
- Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
- Experience preparing reports, analyzing operational or sales data, and maintaining business documentation.
- Excellent communication (written, verbal, and active listening) and interpersonal skills with professionalism and discretion.
- Meticulous attention to details and accuracy when handling financial, contractual, sales and other confidential business information.
- Experience with events and travel planning and coordination is an asset.
- Experience participating in a Joint Health and Safety Committee (JHSC) or supporting workplace health and safety activities is an asset.
- Ability to work independently, exercise sound judgment, and take ownership of administrative and operational responsibilities.
