Operations and Client Experience Coordinator
Conspire Health | Saskatoon, SK
32 hours/week | 4 days/week |
Primarily virtual, with occasional in-person responsibilities in Saskatoon
Applications close Friday, September 18, 2026
Conspire Health is looking for an exceptionally organized, warm and capable person to become a key part of the day-to-day operation of our business.
This is not a traditional administrative role.
Much of our founder’s day is spent working directly with clients through breathing behaviour analysis and professional education. Your role is to make sure everything surrounding that work runs smoothly: the calendar, the clients, the communication, the systems, the billing, the equipment, the logistics and the many details that shape an exceptional client experience.
You’ll often be one of the first points of contact for Conspire Health, communicating with local clients as well as professionals and high-profile clients across Canada, the U.S. and internationally.
We’re looking for someone who combines exceptional organization, sound judgment, strong communication and genuine warmth.
You are the kind of person who sees a moving part and immediately thinks about how it connects to everything else. Client care, SOPs, business flow and operational efficiency are second nature to you.
This role probably isn't for you if you need highly detailed instructions before moving something forward, prefer to focus on one task at a time, or are uncomfortable being responsible for noticing what hasn't been done.
What you’ll be responsible for:
- Managing end-to-end client scheduling and bookings across local, national and international appointments
- Client support and client relations management
- Responding to concierge-style client inquiries with warmth, clarity and professionalism
- Invoicing, billing and payment administration
- Scheduling meetings, drafting agendas, and coordinating communication between practitioners, contractors and other members of the Conspire Health team
- Owning follow-ups and outstanding tasks, anticipating next steps, identifying what is stalled and keeping work moving without needing to be reminded
- Maintaining accurate client and business records
- Ensuring equipment and supplies are where they need to be, when they need to be there: managing capnometer rentals, purchases, shipping, and returns
- Supporting the onboarding of new practitioners when required
- Managing the administrative backend of programs, courses and trainings
- Working within platforms such as Kajabi, Canva and Jane
- Creating and documenting SOPs, workflows and internal systems
- Identifying inefficiencies, gaps and recurring problems—and taking initiative to improve how the business operates
- Coordinating travel arrangements and logistics
You’ll probably love this role if you are: Unusually organized.
Not simply good at keeping a calendar. You naturally think in systems, sequences and workflows. When something happens repeatedly, your instinct is to make it easier, clearer and more reliable the next time.
You are also
- An exceptional communicator who is clear, concise and confident in written and verbal communication with people from all backgrounds and levels of seniority
- Warm, professional and genuinely committed to an exceptional client experience
- Highly discreet and comfortable handling sensitive and confidential information
- Strong at prioritizing and managing several moving pieces at once
- Proactive and comfortable taking ownership
- Someone who follows things through to completion
- Resourceful when you don’t immediately know the answer
- Comfortable learning and using technology
- A systems thinker who enjoys creating better processes
- Calm, adaptable and capable when plans change
You bring at least 3 years of experience in administration, client operations, executive support, healthcare administration, skilled services or another role requiring a high degree of organization, judgment and independent responsibility. Experience with Jane, Kajabi, Canva or similar platforms is helpful,
but we care just as much about your judgment, initiative, communication and ability to learn.
Where you’ll work:
This position is primarily virtual, and most of your work can be completed from home.
However, you must live in Saskatoon or the immediate area because:
Part of the role includes physical inventory and equipment fulfilment, including preparing, shipping and receiving capnometers and related materials. There will also be occasional in-person meetings or tasks at the Conspire Health office.
Hours and compensation:
This is a 32-hour-per-week position, structured as:
4 days per week8 hours per day
Compensation is $25–$28/hour, depending on experience, with the opportunity to earn performance-based bonuses tied to organizational KPIs.
