About Us
The Student Engagement team within Student Experience develops and delivers programs and initiatives that support students in building connection, developing a sense of belonging, and successfully navigating their university experience. Through large-scale transition programs, student leadership opportunities, community-building initiatives, and campus partnerships, the team works to create meaningful and inclusive experiences that help students learn, belong, and thrive at Western. A significant area of the team's work is Western's Orientation Program, a complex, campus-wide initiative that welcomes and supports thousands of incoming students each year and engages a large network of student leaders, staff, faculty, and campus partners. The team provides leadership and coordination for major components of Orientation, including Orientation Week programming, Faculty Day, Soph Training, student leader development and support, and other transition-focused initiatives.
The Orientation
Coordination will work closely on these initiatives and in collaboration with a diverse range of campus partners.
Responsibilities
The Orientation Coordinator will support the planning, coordination, and delivery of Western's Orientation Program and related student transition initiatives. Working closely with the Manager, Student Engagement, the Coordinator will contribute to projects that support the successful delivery of Orientation and the experience of incoming students and student leaders. The Coordinator will play an active role in planning and supporting key Orientation initiatives, including Faculty Day and Soph Training. Responsibilities may include coordinating project timelines and deliverables, supporting training development and delivery, communicating with student leaders and campus partners, preparing program materials and resources, coordinating event and program logistics, maintaining project documentation,
and supporting the implementation and evaluation of Orientation programming. The Coordinator will also provide direct support to students involved in the Orientation Program, helping to respond to questions, navigate processes, coordinate information, and ensure student leaders have the resources and support they need to be successful in their roles. This position requires strong organization, communication, and critical thinking skills, as well as attention to detail. The Coordinator will manage multiple priorities and contribute to projects involving students, staff, faculty, and campus partners across Western. The successful candidate will be expected to take initiative within the scope of their role, identify and communicate emerging needs or challenges, and contribute collaboratively to a fast-paced and highly coordinated team environment.
The Orientation Coordinator will carry out their responsibilities in accordance with Western's policies and procedures and will work productively, respectfully, and professionally with students, colleagues, campus partners, and members of the broader Western community.
Please note: this is a part-time position for the current academic year, and will transition to full-time hours from May-September 12, 2026.
Qualifications
Education
- Must be a full-time student at Western, enrolled in a minimum of 3.5 courses, and expect to retain full-time student status for the duration of the appointment
Experience:
- Experience with Western's Orientation Program is considered an asset
- Experience supporting events, programs, projects, student leadership initiatives, or other student-facing activities is considered an asset
Skills, Abilities & Expertise:
- Strong written and verbal communication skills, with the ability to communicate clearly and adapt communication to different audiences
- Strong organizational and project coordination skills, with the ability to manage multiple priorities, timelines, and deliverables
- Ability to work effectively in a fast-paced environment with changing priorities and competing demands
- Demonstrated attention to detail and ability to follow complex processes while identifying opportunities to improve coordination and execution
- Ability to build positive and respectful working relationships with students, staff, faculty, and campus partners
- Demonstrated initiative, resourcefulness, creativity, and problem-solving skills
- Ability to exercise sound judgement and recognize when questions, concerns, or emerging issues should be escalated
- Ability to work independently while contributing effectively as part of a collaborative team
- Commitment to creating inclusive, accessible, and welcoming experiences for students from diverse backgrounds and experiences
- Demonstrates integrity and works in accordance with Western's policies, procedures, and confidentiality requirements
- Proficiency with Microsoft Office and the ability to learn and effectively use new software and digital platforms as required
