Hiring Range: $62,902 - $70,765 per annum (plus comprehensive benefits)

Location: 7120 Hurontario Street, Mississauga, ON L5W 1N4

Hours of Work: 35 hours per week, Monday - Friday, 8:30am-4:30pm

Position Summary:

Using knowledge of medical terminology, understanding of publicly funded vaccines/medications, and experience managing medical charts to participate in the case management of reportable diseases in Peel, this job will exercise judgement to determine the priority, assignment and coordination of incoming reports, to assess for Tubersol®/medication eligibility and to ensure all necessary information is available for case managers. Exercising a high degree of customer service and strong problem solving, analytical and prioritization skills to support the Tuberculosis (TB) program.

What you will do in this role:

- Completing an initial assessment and intake of incoming laboratory reports, physician consult notes and Tubersol®/medication orders. This includes screening, triaging and prioritizing incoming data for action and assigning to an appropriate case manager for follow-up; maintaining the case log and rotation list for PHN case management
- Creating, assessing and maintaining confidential client files. This includes, but is not limited to, reviewing client files to ensure the necessary reporting requirements are completed as well as referring cases to other program areas for follow-up
- Coordinating clinically low risk client files according to established policy and procedure
- Reviewing Tubersol®/medication orders to ensure accurate completion by health care providers, contacting physician offices to collect missing information and verifying eligibility criteria for publicly funded Tubersol®/medication. Ensuring orders are being processed by the correct team
- Accessing and entering data into a variety of applications (e.g., iPHIS, Panorama, EIM, Connecting Ontario, Excel) with a high degree of proficiency and accuracy
- Communicating with external stakeholders (such as the Ministry of Health, Public Health Ontario, physicians, pharmacists and laboratories) and clients for case management purposes with tact and diplomacy
- Supporting individual clients and families over the telephone with compassion and respect utilizing negotiation, de-escalation and conflict resolution skills
- Ordering, stocking and tracking Tubersol®/medications using Panorama Inventory Module
- Preparing and returning Tubersol®/medications to Ontario Government Pharmacy (OGP) in a timely manner
- Providing administrative support at TB clinics which includes but is not limited to packing and delivering supplies to the clinic, registering clients and assisting with clinic flow
- Tracking and submitting invoices to Accounts Payable. Communicating with vendors and clarifying invoices. Preparing documents for submission to the Ministry of Health for medication reimbursement to the ROP
- Assisting with the co-ordination of projects and meetings including scheduling, preparing and distributing agendas, chairing meetings, minute taking and distribution of minutes
- Participating in program development by contributing to operational and administrative processes
- Assisting with the development and maintenance of team user guides/training manuals




- Supporting colleagues with software issues; collaborating with 4020 and the Problem Resolution Coordinator (PRC) as required
- Participating in data cleaning/auditing exercises to improve data quality
- Generating reports for the supervisor (such as: high risk reports in Panorama) from Cognos and/or Panorama
- Collating data and maintaining program indicator reports
- Effectively working as part of an interactive multi-disciplinary team to provide a high standard of service to our clients in addition to providing support to the program Supervisor, Public Health Nurses and Health Outreach Workers
- Providing confidential administrative support with a thorough knowledge of Personal Health Information & Protection Act (PHIPA) legislation
- Providing support to all CDCM teams during Urgent Response or Public Health Emergencies
- Maintaining professionalism in a fast-paced environment with competing priorities, often with short turnaround times
- Coordinating staff and clinic schedules
- Orientating new staff as required
- Performing other related duties as assigned

What the role requires:

- Post-secondary diploma in medical office administration or a related field
- Minimum of three years of relevant experience or an equivalent combination of experience and education
- Self-directed and able to multitask and prioritize within a deadline-oriented environment
- Administrative job knowledge in office processes, payroll and invoicing processes
- Knowledge of medical terminology and laboratory reports would be an asset

Skills/Abilities:

- Attention to detail and high degree of data entry accuracy
- Ability to effectively communicate and maintain team connection through a variety of mediums
- Extensive experience with data base applications
- Advanced computer skills including MS Word, Excel, Visio, Power Point, Outlook, Teams
- Excellent interpersonal and communication skills to deal effectively with internal and external contacts in a highly confidential manner
- Excellent writing skills needed for drafting responses and minute taking
- Efficient customer service must be a strong value of the candidate
