Overview
We are seeking an organized, customer-focused Project Coordinator to support our restoration team in delivering timely, well-documented residential and commercial property-loss projects. This role is ideal for someone who thrives in a fast-paced environment, can manage many moving parts at once, and understands the importance of clear communication during stressful situations for customers.
Key Responsibilities
- Open, organize, and maintain project files from initial assignment through project completion.
- Coordinate schedules for Project Managers, operations department, subcontractors, suppliers, inspections, and customer appointments.
- Communicate professionally with homeowners, tenants, property managers, insurers, adjusters, and trades.
- Provide customers with timely updates regarding scheduling, next steps, access requirements, and anticipated project timelines.
- Track project progress, outstanding tasks, approvals, changes in scope, and work completion dates.
- Assist Project Managers with preparing and issuing work authorizations, subcontractor work orders and project correspondence.
- Maintain accurate project documentation, including photographs, moisture records, job notes, permits,
invoices, estimates, approvals, and customer communications.
- Support estimating and billing processes by collecting required documentation, monitoring missing information, and helping ensure files are ready for invoicing.
- Follow up with subcontractors and suppliers to confirm attendance, scope completion, invoices, deficiencies, and required documentation.
- Assist with insurance and third-party program requirements, including documentation standards, response-time expectations, and file updates.
- Monitor project status reports and escalate scheduling conflicts, customer concerns, budget issues, or delays to the appropriate Project Manager.
- Support closeout activities, including final documentation, customer sign-offs, deficiency tracking, warranty information, and file completion.
- Maintain confidentiality of customer, claim, financial, and employee information.
- Contribute to process improvement, team communication, and a safe, professional workplace.
Qualifications
- Previous experience in a project coordination, administrative coordination, construction coordination, insurance, restoration, or customer-service role is preferred.
- Experience in property restoration, construction,
renovation, insurance claims, or emergency services is considered a strong asset.
- Strong organizational skills with the ability to manage multiple active files and shifting priorities.
- Excellent written and verbal communication skills.
- Qualified and empathetic customer-service approach, particularly when working with people experiencing property damage or loss.
- High attention to detail and ability to maintain accurate records.
- Comfortable working with deadlines, schedules, changing priorities, and urgent service requests.
- Proficient with Microsoft Office, including Outlook, Excel, Word, and Teams.
- Experience with restoration, estimating, or job-management software such as Encircle, Xactimate, XactAnalysis, or similar platforms is an asset.
- Ability to read and understand scopes of work, estimates, invoices, and project documentation is an asset.

Pay: $40,000.00-$60,000.00 per year
