About the Role
We are seeking an experienced and results-driven Property Maintenance Coordinator to oversee the day-to-day operations, safety, maintenance, and overall performance of our logistics facility.
The Property Maintenance Coordinator will be responsible for ensuring the building operates safely, efficiently, and in accordance with company standards and regulatory requirements. This role will work closely with Operations, Transportation, Human Resources, Security, Maintenance, and external vendors to maintain a high-performing and reliable facility.
The ideal candidate is a strong leader who is highly organized, proactive, and comfortable working in a fast-paced logistics setting where priorities can change quickly.
Key ResponsibilitiesFacility & Building Operations
- Oversee the daily operation and overall condition of the logistics facility.
- Ensure the building, equipment, dock areas, offices, common areas, and surrounding property are maintained to a high standard.
- Conduct regular building inspections and identify maintenance, safety, security, and operational issues.
- Coordinate preventative maintenance and repairs with internal teams and external contractors.
- Manage building access, key fobs, security systems, lighting, HVAC, utilities, and other facility infrastructure.
- Ensure loading docks, doors, yard areas, parking areas, and traffic flow are maintained and operational.
- Coordinate building-related activities to minimize disruption to logistics operations.
- Maintain accurate facility records, maintenance logs, inspection reports, and vendor documentation.
Safety & Compliance
- Promote a strong safety culture throughout the facility.
- Ensure the building complies with applicable health, safety, fire, environmental, and regulatory requirements.
- Conduct and document routine safety and facility inspections.
- Coordinate emergency response procedures, drills, and business continuity activities.
- Ensure fire protection systems, emergency exits, alarms, first aid equipment,
and other safety systems are inspected and maintained.
- Investigate facility-related incidents and ensure appropriate corrective actions are implemented.
- Partner with Operations and Safety teams to address hazards and reduce workplace risks.
Vendor & Contractor Management
- Manage relationships with building maintenance, cleaning, security, landscaping, waste management, pest control, HVAC, electrical, plumbing, and other service providers.
- Obtain quotes and coordinate repairs and maintenance projects.
- Monitor vendor performance and ensure work is completed safely, on time, and according to agreed standards.
- Review invoices and ensure services received align with contracted work.
- Maintain current vendor contacts, contracts, certificates, and service records.
Budget & Administration
- Support the development and management of the facility operating budget.
- Monitor facility expenses and identify opportunities to reduce costs without compromising safety or operational performance.
- Maintain accurate records of maintenance, repairs, utilities, supplies, and capital projects.
- Prepare regular facility reports and provide updates to senior management.
- Assist with capital improvement and facility expansion projects as required.
Leadership & Cross-Functional Support
- Work closely with Operations leadership to support daily logistics requirements.
- Partner with HR, Safety, and Driver teams to resolve building-related issues.
- Provide guidance and direction to facility support staff, contractors, and service providers.
- Communicate effectively with employees at all levels of the organization.
- Respond quickly to urgent facility issues and coordinate appropriate solutions.
- Support operational initiatives, continuous improvement projects, and company-wide programs.
Qualifications
- 3–5+ years of experience in building management, facilities management, warehouse operations, logistics, or a related field.
- Valid driver’s licence (Class G) required
- Previous experience managing a warehouse,
distribution center, fulfillment center, or transportation facility is strongly preferred.
- Strong knowledge of facility maintenance, building systems, workplace safety, and vendor management.
- Experience managing contractors and external service providers.
- Strong organizational and project management skills.
- Excellent communication and interpersonal skills.
- Strong problem-solving and decision-making abilities.
- Proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to work flexible hours and respond to urgent facility issues when required.
- Knowledge of applicable occupational health and safety regulations is an asset.
- Experience with facility management software or maintenance management systems is an asset.
