Job Summary
Cambrooks College is seeking a detail-oriented and dependable Receptionist/Student Records Administrator to serve as the operational custodian of official student records. The successful candidate will ensure that student information is complete, accurate, secure, current and readily retrievable throughout the student lifecycle—from admission and registration to graduation and archiving.
Key Responsibilities
- Review active files for completeness, maintain document version control, and conduct periodic file audits.
- Maintain admission documentation, including applications, transcripts, credential assessments, interview records, testing results, language-proficiency evidence and identification records.
- Enter and update enrolment information in the student information system, including program dates, cohort assignments, approved program changes, leaves, withdrawals, re-entry and current contact information.
- Receive authorized final grades and attendance information and maintain official, accurate and auditable academic records.
- Maintain records relating to academic warnings, probation, course repeats, Academic Improvement Plans, practicum completion and related outcomes.
- Prepare, verify and maintain scholarship eligibility records and communicate approved payment authorization to Finance.
- Compile records for graduation review, coordinate academic-clearance documentation, maintain the credential issuance register, record certificate reprints and archive graduate files.
- Protect the privacy, security and confidentiality of student records; control authorized access and maintain appropriate disclosure records.
- Support records retention, secure archiving, backup and recovery,
regulatory inspections, compliance reviews and student-record audits.
Skills
- Post-secondary diploma or degree in office administration, records and information management, business administration, education administration or a related field.
- Experience in student records, educational administration, regulated records management or a comparable administrative role is an added advantage.
- Strong accuracy, organization, follow-through and document-control skills, with the ability to manage confidential information responsibly.
- Working knowledge of privacy, records-retention and secure information-handling practices.
- Proficiency with Microsoft Office and confidence in learning student information systems and other digital records platforms.
- Clear written and verbal communication skills and the ability to work collaboratively while respecting defined approval authorities.
- Ability to manage competing deadlines, identify incomplete or inconsistent records, and escalate issues appropriately.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Robust organizational skills with the ability to manage multiple tasks effectively.
- Excellent phone etiquette and communication skills, both verbal and written.
- Previous experience in office management or administrative roles in a career college is preferred.
- Familiarity with front desk operations and multi-line phone systems is advantageous.
- Customer service orientation with a focus on providing exceptional support.
Job Type: Part-time Pay: $21.00-$22.00 per hour
