The Role As a Senior Specialist within IGM’s Real Estate and Facilities Operations team, you will be responsible for ensuring the smooth operation and maintenance of IGM’s a subset of our 115 corporate and branch offices across Canada. You will manage work order systems, coordinate with property managers and vendors, support incident resolution, and deliver exceptional client service to internal stakeholders.
This position is expected to take ownership of assigned work, prioritize competing service requests, identify issues requiring follow-up, and escalate urgent or unresolved matters with transparent facts and status updates
This role requires an organized and adaptable candidate who thrives in a dynamic workplace, communicates effectively across business lines, and supports a variety of operational initiatives, processes, and procedures. This role is based fully on-site and requires attendance in the office five days per week to support operational collaboration and service delivery.
Key Responsibilities
- Client service: Serve as the primary point of contact for facility-related inquiries and issues across a national office portfolio. Deliver timely, skilled support to internal clients across Canada, coordinate responses with key partners, ensure consistent service delivery across assigned locations.
- Workflow management: Monitor and manage ticket queues and incoming work from multiple sources, ensuring timely triage, prioritization, response, and resolution of facility-related requests and incidents. Escalate critical issues as required, follow established service level agreements, and provide clear, proactive updates to leadership and stakeholders throughout resolution.
- Vendor coordination: Coordinate with external vendors, property managers, and service providers to support maintenance, repairs, and operational requirements. Ensure services are delivered in accordance with company standards, timelines, and business needs.
- Financial administration: Support the procurement of products and services,
purchase order processes, and invoice validation and approvals to ensure accurate billing, timely processing, and alignment with approved scope of work.
- Process improvement: Identify recurring issues and workflow gaps, and support practical process improvements that enhance operational efficiency, service consistency, and client experience. Document, maintain, and update processes in a timely manner to support consistent service delivery.
- Stakeholder collaboration: Build and maintain strong working relationships with internal business partners, service providers, other business units, and cross-functional teams to support issue resolution, operational planning, and a high standard of client service.
Duties
- Coordinate maintenance, repair, and service requests with landlords, property managers, security, and contractors (e.g., HVAC, plumbing, electrical, cleaning, and break/fixes) ensuring a timely resolution and clear follow-up.
- Coordinate scheduled preventative maintenance activities and conduct periodic facility walkthroughs to proactively identify deficiencies, repair requirements, and maintenance needs, ensuring appropriate follow-up with landlords, property managers, vendors, and internal stakeholders.
- Manage work orders and service requests by tracking progress, prioritizing issues, updating stakeholders in a timely manner, and ensuring requests are completed accurately within service level expectations.
- Support small scale moves, additions, changes, and operational projects by coordinating vendors, schedules, and stakeholders across assigned locations.
- Support Corporate Campus programs and onsite operational activities, including town halls, parking coordination, events, and related stakeholder requirements.
- Monitor operational and facility related incidents, escalate critical issues as required, and provide timely status updates to leadership and affected stakeholders.
- Support the procurement of products and services, including purchase order administration and invoice validation, to ensure accurate processing and alignment with approved work.
- Identify recurring issues and workflow gaps, and support updates to processes or procedures that enhance efficiency, consistency, and client service.
- Document and maintain standard operating procedures to support consistent service delivery.
- Collaborate with internal partners and external service providers to resolve issues, coordinate operational needs, and maintain a high standard of support across the office portfolio.

Qualifications
- Experience: Minimum of 3-5 years of experience in facilities management or a related operational field such as property management, or client services operations. Experience with work order management systems and incident management is required. Experience supporting vendors, small projects, or commercial lease interpretation is considered an asset.
- Language: Bilingualism in English and French is an asset.
- Certifications: C.E.T, RPA, FMA, FMP, CFM or equivalent designations are considered an asset.
- Technical proficiency: Proficient in Microsoft 365 applications, including Excel, PowerPoint, Co-Pilot and SharePoint. Experience with work order and property management ticketing systems, such as ServiceNow, as well as security management systems such as Genetec, desk reservation systems, and AI-enabled productivity tools to support workflow management, and process improvement is considered an asset.
The expected annual base salary range for this role is $65,000 - $82,000, which is determined based on skills, knowledge and experience and geographic location.
