Location: Various AHS properties – Lethbridge, Alberta, Canada (Local travel required between locations)

This position reports directly to the Executive Director. On a day-to-day basis, the Tenant Relations Officer will also take operational direction from the Tenant Relations Manager to ensure tenant interactions are handled effectively. As the organization grows and expands its management team, reporting lines may be adjusted to align with departmental specializations. The Tenant Relations Officer plays a vital role in upholding AHS’s values and mission by supporting tenants through advocacy, mentoring, and ensuring their housing, financial, and social needs are met.
Job Summary
Key Roles and Responsibilities The Tenant Relations Officer provides versatile support across tenant relations, accounts, and property management operations. This role is designed to respond to the changing needs of the organization, with responsibilities shifting throughout the month based on tenant needs, rent collection and account cycles, reporting deadlines, property management priorities, and day-to-day operational demands. The position supports effective service delivery by assisting tenants, maintaining accurate records, supporting account-related processes, coordinating with property management staff, and helping ensure AHS properties are well managed, responsive, and tenant focused.
Administrative Duties
- Process new tenant applications, schedule interviews, and assist with interviews alongside the Tenant Relations Manager.
- Maintain the applicant pipeline, including regular communication with waitlisted and unsuccessful applicants.
- Maintain application files with detailed notes on application status, communications, and required follow-up.
- Track application statistics and tenant demographics for reporting purposes.
- Organize timesheets, payment records, tenant documents, and other supporting administrative records.
- Complete other administrative duties as directed by the Executive Director or designate.
Accounting Duties
- Collect monthly rent, utility payments, and security deposits in accordance with established procedures.
- Process daily e-transfers, cash, cheques, deposit slips, receipts, and invoices, and update the rent roll accurately.
- Reconcile end-of-day payments and prepare daily deposits as required.
- Support account-related tasks, including revenue reconciliation, tenant payment tracking, and matching invoices to purchase orders or receipts.
- Maintain accurate financial records and supporting documentation for audits and reporting.
Property Management and Maintenance Support
- Receive tenant maintenance concerns and direct or escalate requests to the Property Manager as appropriate.
- Respond to after-hours tenant inquiries by triaging emergency property issues for immediate action or next-day follow-up in collaboration with the Property Manager.
- Coordinate move-in processes for new tenants, including rental agreements, required payments, utility setup confirmation, and inspections.
- Support property standards by helping monitor cleanliness, maintenance needs, renovations, and unit readiness.
- Prepare and send tenant notices related to property standards, lawn maintenance, noise concerns, and bylaw matters in coordination with the Property Manager.
Tenant Support, Advocacy, and Conflict Resolution
- Mentor, advise, and advocate for tenants while supporting respectful and culturally aware tenant relations.
- Assist tenants in accessing supports, particularly where rent arrears, housing stability, or social service needs are identified.
- Respond to tenant complaints and support early resolution of concerns in coordination with the Tenant Relations Manager.
- Prepare verbal warnings, written warnings, and eviction-related correspondence as required, in coordination with the Tenant Relations Manager and established organizational procedures.
- Support conflict resolution with tenants and coordinate with external agencies where additional resources or follow-up are required.
- Provide referrals and advocate on behalf of tenants with outside agencies and community supports.
- Help create a supportive environment for tenants from diverse Indigenous backgrounds.
Liaison and Stakeholder Engagement
- Maintain working relationships with external agencies and community partners to support tenant referrals and service coordination.
- Coordinate communication between tenants, AHS staff, and outside agencies to help ensure appropriate resources and follow-up are provided.
Qualifications
- Diploma or Certificate in Business Administration, Management, or a related field is required.
- Experience in tenant relations, housing management, or a related field, particularly with Indigenous communities
- Proficiency in accounting tasks, including handling cash, e-transfers, and spreadsheets
- Excellent organizational skills and attention to detail, especially in accounting and administrative functions
- Strong conflict resolution and advocacy experience, particularly with vulnerable populations
- The ideal candidate will demonstrate strong financial management skills, cultural competence, and a deep understanding of working within Aboriginal communities or housing organizations
- Criminal Record check, Vulnerable Sector Check required
- Valid Class 5 driver’s license required, and access to a reliable, insured vehicle for travel between property sites. Access to a shared company vehicle may be available; to be eligible, candidates must provide a clean driver’s abstract.
