Position Summary The Transit Coordinator is responsible for providing administrative and operational support to ensure the safe, efficient, and reliable delivery of transit services throughout the Comox Valley service area. This position coordinates driver scheduling, payroll administration, customer service, and office operations while ensuring compliance with the Collective Agreement, company policies, company procedures, and applicable employment legislation.
The Transit Coordinator serves as a key communication link between management, employees, union representatives, customers, BC Transit, local government partners, and external stakeholders. The position requires strong organizational abilities, excellent communication skills, attention to detail, and the ability to maintain confidentiality while working in a fast-paced unionized transit environment.
Key Responsibilities
Scheduling and Operations
· Coordinate and maintain daily, weekly, and monthly transit operator schedules.
· Assign work in accordance with the Collective Agreement, seniority provisions, and operational requirements.
· Manage vacation requests, leaves of absence, shift trades, overtime assignments, and schedule adjustments.
· Monitor attendance and arrange replacement operators to maintain service throughout the Comox Valley transit system.
· nsure adequate staffing levels to support scheduled transit service.
· Maintain accurate scheduling records and reports.
· Communicate schedule changes and service updates to employees and management in a timely manner.
· Assist with operational planning, service delivery, and special event transportation requirements.
Payroll Administration
· Review, verify, and process employee timesheets, attendance records, overtime, premium pay, and statutory holiday entitlements.
· Prepare and submit payroll information accurately and within established deadlines.
· Maintain payroll records and supporting documentation.
· Investigate and resolve payroll discrepancies while ensuring compliance with company policies and Collective Agreement provisions.
· Maintain strict confidentiality regarding employee information.
Customer Service and Communications
· Respond promptly and professionally to customer inquiries, requests, complaints, and concerns received by telephone, official email, and written correspondence.
· Provide accurate information regarding transit routes, schedules, fares, accessibility services, policies, and service disruptions.
· Document customer feedback and ensure appropriate follow-up and resolution.
· Prepare service notices, reports, correspondence, and operational communications.
· Maintain positive working relationships with customers, employees, BC Transit representatives, local government partners, contractors, and community stakeholders.
· Represent the organization in a professional, courteous, and customer-focused manner.
Office Administration
· Perform general office administration duties including filing, records management, data entry, and document preparation.
· Develop and maintain reports, spreadsheets, tracking systems, and operational summaries.
· Maintain confidential employee and operational records.
· Assist management with reporting requirements, audits, special projects, and administrative initiatives.
· Coordinate office supplies and administrative resources.
Qualifications
Education and Experience
· High School Diploma or equivalent.
· Post-secondary education in Business Administration, Office Administration, Human Resources, Transportation Management, or a related field is an asset.
· Minimum three (3) years of experience in scheduling, payroll, office administration, transit operations, dispatching, or a related field.
· Experience working within a unionized environment is preferred.
· Experience in public transportation or transit operations is considered an asset.

Office Skills
· Advanced proficiency with Microsoft Office Suite including Word, Excel, Outlook, Teams, and related business applications.
· Strong administrative, record-keeping, and organizational skills.
· Ability to prepare professional reports, correspondence, and spreadsheets.
Payroll and Scheduling
· Experience processing payroll and maintaining employee timekeeping records.
· Strong understanding of scheduling processes and workforce coordination.

Probationary Period
· The successful candidate will be required to complete a six (6) month probationary period from the date of hire.
· During the probationary period, performance, attendance, reliability, communication skills, customer service abilities, and overall suitability for the position will be evaluated.
· Successful completion of the probationary period is required for continued employment.
· The probationary period will be administered in accordance with Company policies and any applicable provisions of the Collective Agreement.
Working Conditions
· Office-based position supporting transit operations throughout the Comox Valley service area.
· Frequent interaction with transit operators, union representatives, customers, BC Transit personnel, local government partners, and management.
· Occasional flexibility in work hours may be required to support operational requirements, staffing shortages, service disruptions, and emergency situations.
Wage: $60k per year, or potentially more depending on level of experience.
