About the position The Volunteer Engagement and Administrative Coordinator works independently and as part of a regional and provincial team providing direct client services to people affected by dementia. In this role, you provide administrative support and volunteer coordination to help increase the team’s effectiveness, efficiency and capacity. You have a key responsibility for implementing volunteer engagement processes to ensure the region’s volunteer needs are met and volunteers have a positive experience.
Administrative tasks including financial processes, project coordination and office admin are also part of the role. Occasional travel within BC may occur. This hybrid role has the option to primarily work from home; the frequency required in office varies by region (from once or twice a week to monthly or quarterly) and will be confirmed by the manager.

Starting salary range (level 5): $46,700 to $54,000 per year
Contract: Permanent
Hours: Full time - 35 hours per week
Location: Vancouver Coastal - Hybrid
Key Responsibilities
- As part of a provincial and regional team and in collaboration with the Manager, Community Services, coordinate volunteer engagement:
- Coordinate recruitment, screening and onboarding for regional volunteers, maintaining records in the volunteer database.
- Build, coordinate, and support teams of office and community outreach volunteers to enhance capacity and reach.
- Support scheduling and coordination of training and shadowing for volunteers.
- Plan and execute volunteer recognition activities.
- Support and provide guidance to staff who supervise volunteers.
- Identify and address volunteer engagement issues, ensuring the volunteer program benefits both the Society and volunteers.
- Provide administrative support for projects and regular activities as assigned by the Manager, including:
- Prepare contracts, expense, and mileage claims for approval.
- Prepare agenda and notes for staff meetings.
- Collect and prepare data for reports, funding requests, program planning, etc.
- Coordinate the ordering, distribution and inventory of office materials for resource centre(s) and staff.
- Coordinate contractor visits at resource centre(s), as needed.
- Provide timely and efficient administrative follow-up for various projects and action items, including provincial initiatives.
- Provide administrative support for special events, as needed.
- Contribute to the region’s community presence initiatives to raise awareness about our programs and services and increase self-referrals.
- Maintain comprehensive and objective recordkeeping in the Rosterfy and Raiser’s Edge databases ensuring data is accurate and in line with our scope and guidelines.
- Keep current with the Society’s services and resources.
- Stay up to date on Society messaging and shared resources regarding Alzheimer's disease and dementia research.
- Other duties as required to meet organizational goals.
About you
You have a post-secondary diploma in Volunteer Engagement or Office Administration, or an equivalent combination of education, practical experience, and lived experience that equips you with the knowledge and skills needed for this role. You have a commitment to working with integrity, respect and courage. You bring a person-centred and cooperative approach to your work.
You focus on inclusivity and respect diverse backgrounds. Having experience working with older adults and/or in a not-for-profit environment is considered an asset and will help you better understand the needs of our community.
Key Qualifications
- You have 1-3 years of experience in a volunteer coordination or administrative role.
- You have skills and experience with some combination of: managing volunteers, inventory management, financial processes, administrative support and fostering relationships.
- You have knowledge of dementia and issues faced by families affected by dementia in BC and/or Yukon.
- You bring a strength-based mindset, recognizing and building on people’s capabilities whenever possible.
- You effectively prioritize tasks and manage a varied workload to meet deadlines and changing priorities.
- You confidently use existing technology and processes and remain open to adopting new tools and skills.
- You communicate clearly and respectfully, seeking clarification when needed to ensure shared understanding.
- You actively collaborate with colleagues, share ideas openly, and welcome diverse perspectives to enhance team outcomes.
- You recognize and address routine challenges, using sound judgement to know when to consult others or seek input.
Technical competencies
- You have experience using Microsoft Office 365 applications, such as Word, Outlook, PowerPoint, Teams, OneNote and SharePoint.
- You can work occasional evenings and weekends, as required. Flexibility with regards to scheduling is expected.
