Job Title: Accounting and Payroll Administrator

Reporting To: Controller

Location: Mississauga, ON (in office)

Annual Salary: $55,000–$65,000

About the Role:

This hands-on role is ideal for an organized professional at the center of a small finance team, reporting directly to the Controller.

You will own accounts payable, accounts receivable and hourly plant bi-weekly payroll from end to end. This is an excellent opportunity to gain practical, end-to-end exposure to the full accounting cycle in a professional, collaborative environment while building experience across AP, AR, payroll, reconciliations, and plant administration.

Duties and Responsibilities:

Account Payable

· Process purchase orders, supplier invoices, and payment requests accurately and on time.

· Three way match purchase orders, receiving documentation, and invoices; investigate and resolve discrepancies.

· Obtain required invoice approvals and maintain complete supporting documentation.

· Set up and maintain vendor accounts in the accounting system.

· Respond professionally to supplier payment inquiries and follow up as required.

· Review accounts payable aging, recommend payment priorities, and support twice-monthly Canadian and U.S. dollar cheque runs.

Account Receivable

· Prepare and issue customer invoices, credit notes, and related documentation.





· Match shipping documents to customer purchase orders and update the accounting system.

· Prepare bank deposits, including remote deposits and credit-card deposits through the bank portal.

· Record and reconcile customer payments received by cheque, EFT, wire transfer, credit card, etc.

· Investigate and resolve cash-receipt discrepancies promptly.

· Monitor accounts receivable aging, send customer statements at the beginning of each month, follow up professionally on overdue invoices, and provide weekly collection-status updates to the Controller.

Payroll Administration

· Review and verify employee time records in the timekeeping system.

· Prepare and submit weekly timecards for temporary employees to the staffing agency.

· Maintain accurate vacation records for plant employees.

· Verify and process bi-weekly payroll for plant employees accurately and on schedule.

· Record payroll transactions in the accounting system and process related banking transactions.

· Maintain the confidentiality and security of payroll and employee information at all times.

Other Responsibilities

· Provide back-up on a small number of office tasks when colleagues are away, such as daily shipping paperwork and order entry.

· Support other accounting and administrative duties as assigned by the Controller.

Qualifications:

· Post-secondary education in accounting, business administration, or a related field.

· Two to three years of experience in accounts payable, accounts receivable, or a similar accounting role.

· Strong attention to detail, organization, follow-through, and problem-solving skills.

· Professional communication skills and a customer-service mindset.

· Proficiency with Microsoft Excel, Word, with an ERP or accounting system.

· Ability to manage confidential information with discretion.

· Comfortable working independently while collaborating with a cross-functional team.

Assets:

· Experience in a manufacturing or industrial environment.

· Experience in payroll administration

· Experience with Traverse or comparable ERP
