Reporting to the Executive Vice President and Managing Director, the Administrative Assistant plays a key role in providing administrative and operational support to a team of Vice Presidents. They contributes to the efficiency of daily operations through proactive calendar management, meeting coordination, travel arrangements, and document preparation. They demonstrates sound judgment, a high level of confidentiality, and the ability to manage multiple priorities simultaneously in a fast-paced and evolving environment.
- Proactively manage the calendars of multiple Vice Presidents, optimize the scheduling of their activities, and prepare the documentation required for planned meetings;
- Organize, coordinate, and schedule meetings, committees, and leadership team meetings;
- Draft, review, format, and ensure the quality of various administrative documents, reports, presentations, and communications;
- Track deadlines and follow up on requests received;
- Coordinate business travel arrangements (transportation, accommodation, itineraries, and logistics) and make necessary reservations (restaurants, hotels, corporate events, etc.);
- Monitor expenses and prepare expense reports;
- Contribute to internal initiatives, including document management, process improvement, and administrative governance;
- Perform any other related duties to support the team and departments.
This role could be for you if you have
- College diploma, vocational diploma, or equivalent education in administration, office technology, secretarial studies, or another related field;
- Minimum of 5 years of experience in an administrative support role supporting senior executives and leadership teams;
- Excellent writing and editing skills with strong attention to detail;
- Advanced proficiency with the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, and SharePoint);
- Advanced proficiency in French, both written and spoken;
- Intermediate proficiency in English, both written and spoken, to occasionally interact with suppliers and colleagues across Canada. Must be able to draft communications and review documents in English;
- Strong ability to manage multiple priorities and assignments simultaneously;
- High level of confidentiality, professionalism, and discretion;
- Excellent communication and interpersonal skills;
- Ability to work independently while collaborating effectively with internal teams.
