Join Our Team as an Administrative & Member Services Assistant at Performance Institute!

Performance Institute is a professional personal training and active rehabilitation facility in Burnaby, BC. Unlike a traditional large commercial gym, we provide individualized personal and small group semi-private training in a smaller, relationship-focused environment. Our clients range from youth and recreational athletes to adults pursuing long-term health and fitness, as well as active rehabilitation clients and high-level athletes.

Servives at Performance Institute includes personal training, semi-private small-group training, active rehabilitation, team training, Soft Tissue release sessions, and nutrition coaching. Past and current clientele highlights include the Vancouver Whitecaps, national-level wheelchair athletes, some of Canada’s elite figure skaters, Hugh Jackman, Amanda Peet, David Duchovny, and Zac Efron

At Performance Institute, our Administrative Assistants are essential to ensuring a seamless client experience. This role is perfect for someone who is proactive, personable, highly organized, and passionate about fitness and sports performance. You’ll work closely with our trainers and clients in a collaborative and supportive environment while gaining valuable experience in the fitness industry.

What You’ll Do

As our Administrative Assistant, you’ll:

Administrative Responsibilities

- Manage client bookings and trainer schedules using a digital platform.
- Coordinate with insurance adjusters and lawyers for active rehab clients.
- Handle customer service via phone, email, and in-person inquiries.
- Process payments and assist clients with account management.
- Support personal trainers and management with administrative tasks.

Client Engagement





- Welcome clients warmly and contribute to their comfort in our facility.
- Provide exceptional customer service to members and guests.
- Assist in on-boarding new clients
- Share general fitness and basic supplement knowledge.
- Maintain a clean, sanitized environment, ensuring protocols are followed.
- Participate in community initiatives, such as fundraisers.

Schedule & Hours

Most Likely Regular shifts:

- Sundays: 9am -12 noon
- Thursday or 1 pm Shift: 3 pm – 7 pm
- Friday or 1 daytime shift -8/9 am - 1/4 pm

We are also looking for someone who has the flexibility and willingness to occasionally provide additional coverage for vacation, illness, or other staffing needs.

- Take advantage of free semi-private training sessions outside your shift to enhance your fitness and firsthand experience with our services.
- An opportunity to shadow our Elite Strength and Conditioning Specialists outside of shift hours, designed for individuals with post-secondary education in Kinesiology who are exploring a career in the fitness industry. This experience could potentially lead to an expanded role, incorporating client training alongside administrative responsibilities.

What We’re Looking For

Essential Qualifications:

- High School Diploma.
- Customer service experience.
- Strong communication skills, both written and verbal.
- Proficiency with MS Office and basic computer tasks.




- Ability to handle complex situations with professionalism.
- Excellent time management, organization, and attention to detail.

Preferred Qualifications:

- Currently pursuing studies in Kinesiology or a related health field.
- Personal experience as an athlete.
- Familiarity with ICBC processes and working with adjusters.

Working Conditions

- Clean, air-conditioned gym environment.
- Winter hours include Sundays and may include Saturdays.
- Typical shifts: Saturday & Sunday (9:00 am–1:00 pm) or Thursday (3:30–7:30 pm) and Sunday (9:30 am–12:30 pm).
- Availability to cover additional shifts during vacations or illnesses is an asset.

Job Type: Part-time

Pay: $18.25-$22.00 per hour
