The Position

Working under the direction of the Manager, Strategic Initiatives, the Bilingual Program Coordinator provides administrative and program coordination support for key initiatives at Partners for Planning. With a primary focus on P4P’s Fetal Alcohol Spectrum Disorder (FASD) initiative, the role administers the FASD Microgrant Program, coordinates virtual education and events, supports relationships with external stakeholders, and contributes to program communications and outreach.

The successful candidate must be fully bilingual in French and English,



with strong written and verbal communication skills in both languages.

What You Will Be Responsible For

FASD Microgrant Program

- Administer the FASD Microgrant Program for family support groups, ensuring program activities, processes, and deadlines are managed throughout the year.
- Coordinate the promotion and launch of the microgrant program and support applicants throughout the application process.
- Receive, review, and track applications; prepare and distribute funding agreements for successful applicants.
- Coordinate with Finance to facilitate the release of funding and track interim and final reporting requirements.
- Provide ongoing support to funded groups throughout the year, responding to questions and providing guidance on program requirements and processes.

Stakeholder Engagement and Outreach

- Promote P4P’s FASD programs and build relationships with stakeholders, including individuals with FASD and developmental disabilities, families, and organizations that support them.
- Coordinate and administer advisory groups related to the FASD program, including scheduling meetings, preparing agendas and materials, recording minutes, and coordinating follow-up.
- Attend conferences and other relevant events for professional learning, networking, and, as required, represent P4P at its booth.

Education and Events

- Organize virtual training and educational events for family support groups throughout the year.
- Coordinate four webinars annually, including identifying and contracting speakers, managing event logistics, collaborating with the Communications Coordinator on promotion, and collecting and reviewing participant evaluations and feedback.

Communications and Digital Content

- Develop and maintain website content related to the FASD program, ensuring information is current, relevant, and accurate.
- Support the promotion of P4P’s website, FASD programs, and initiatives through digital communications and other outreach activities.




- Track website and program analytics and use insights to support outreach and engagement.
- Grow the FASD community subscriber list and support ongoing communications with stakeholders.
- Support funder reporting requirements and prepare other program-related communications and content as required.

What Makes You the Ideal Candidate?

- Fully bilingual in French and English, with robust written and verbal communication skills in both languages.
- Post-secondary education in Administration or a combination of related education and experience.
- 3–5 years of experience in a coordinator or administrative assistant role.
- Exceptional listening, communication, and interpersonal skills.
- Proactive and creative thinker with strong problem-solving skills and sound judgment.
- Self-motivated and highly organized, with excellent time-management skills and the ability to manage competing priorities and meet deadlines.
- Solid administrative skills and a solid knowledge of office procedures.
- Strong computer skills, including Microsoft Office applications (Word, Excel, and PowerPoint).
- Experience with Google Workspace, project management software, Canva, Adobe design tools, email marketing platforms such as Constant Contact.
- Familiarity with Mac and Apple iOS is an asset.
- Ability to maintain confidentiality and exercise discretion.
- Experience with Fetal Alcohol Spectrum Disorder (FASD) or developmental disabilities is an asset.
- Working in a not-for-profit organization or professional association is preferred.
