Family Service Nova Scotia (FSNS) is a community-based provincial organization that has been offering a wide variety of programs and services to Nova Scotians since 1969. Supporting our service users is at the centre of everything we do!

POSITION: Business Operations & Administration Lead
LOCATION: Antigonish, Nova Scotia
ABOUT THE ROLE:
We're looking for a highly organized and proactive Business Operations & Administration Lead to join our team in Antigonish, Nova Scotia.
This is a full time, permanent position with a hybrid work arrangement.
Reporting directly to the Director of Business Development, you'll be a key partner to the Director, keeping communications current, projects moving, and daily operations running smoothly across payroll, finance, infrastructure, IT, human resources, and communications. You'll also play an important role in supporting the organization's continued growth.
The ideal candidate is a strong communicator and natural problem solver who enjoys bringing structure and accountability to a busy, growing organization.
KEY RESPONSIBILITIES:
Operations & Administration
- Assist & coordinate daily operational and administrative priorities across payroll, finance, infrastructure, IT, human resources, and communications.
- Track projects, deadlines, action items, and deliverables, keeping priorities on track and the right people informed.
- Maintain accurate and organized business records, contracts, databases, and documentation, with a focus on secure and centralized file management.
- Identify opportunities to improve operational efficiency and implement better processes, systems, and tools.
- Assist with reporting, budgeting, forecasting, and other administrative functions as required.
- Prepare correspondence, reports, presentations, proposals, and other business materials.
Business Development & Special Projects
- Support business development initiatives, including research, pipeline tracking, and relationship management.
- Coordinate information and activities across internal teams and external partners.
- Support special projects and strategic initiatives led by the Director of Business Development.
Qualifications & Skills
- 5 years of experience in business operations, administration, executive support, office management, or a related role.
- Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills, with a professional and approachable style.
- Exceptional attention to detail and a commitment to accuracy.
- Strong analytical skills and a practical approach to problem solving and decision making.
- Technical proficiency with various online platforms, and a focus on Microsoft 365, including Outlook, Word, Excel, Teams, and OneDrive/SharePoint.
- Strong professional judgment, with the discretion to manage confidential executive communications and sensitive information responsibly.
- Motivated and dependable, with the confidence to work independently and manage your own workload.
- A diploma or degree in business administration, management, or a related field is an asset; equivalent work experience will also be considered.
- Experience in non-profit is an asset.
