Duties & Responsibilities
Customer Service & Portal Management
- Serve as the primary point of contact for customers via phone, email, and customer portals.
- Manage third-party customer portals (e.g., Service Channel, Verisae), including receiving service requests, updating work order status, uploading documentation, and closing completed work orders.
- Maintain accurate customer and work order information within internal systems.
- Monitor shared inboxes and customer portals, providing timely updates on work order status and project timelines.
- Support operational reporting and data management activities.
Dispatching & Scheduling
- Schedule and dispatch field technicians for service calls, preventive maintenance, audits, and emergency repairs.
- Coordinate technician schedules based on customer priorities, geographic locations, and service level agreements (SLAs).
- Create and issue work orders with clear scopes of work and supporting documentation.
Quoting & Administrative Support
- Prepare maintenance and repair quotations based on technician recommendations.
- Coordinate with the Procurement team to confirm product availability and lead times.
- Assist with general administrative duties as required to support daily operations.
Skills & Qualifications
- 2–3 years of experience in customer service, dispatching, service coordination, or a similar operational role.
- Experience in the electrical, lighting, construction, facilities maintenance, or service industry is considered an asset.
- Experience working with customer portals and work order management systems.
- Experience preparing customer quotations is an asset.
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficient in Microsoft Office, particularly Excel and Outlook.
Education
- College Diploma or University Degree preferred.
- Previous experience in a customer service, call centre, or dispatching environment is an asset.
