We're hiring: Executive Assistant to Corporate Services and Education Services

Sturgeon Public Schools is seeking an Executive Assistant to join our Corporate Services and Education Services team at our Central Office in Morinville.

The Executive Assistant provides high-level executive, administrative, and project coordination support to the Associate Superintendent, Corporate Services and the Deputy/Associate Superintendent, Education Services. The position supports divisional priorities, reporting, communication, data management, and key operational processes while maintaining a high degree of confidentiality, judgment, and professionalism.

What You Will Do

Executive Support

- Provide executive-level administrative support to the Associate Superintendent, Corporate Services and Deputy/Associate Superintendent, Education Services.

- Coordinate calendars, meetings, deadlines, presentations, correspondence, briefing materials, travel, and follow-up.

- Prepare and maintain professional reports, presentations, agendas, records, and executive documents.

- Track priorities, commitments, and action items and proactively support timely completion.

- Assist with tracking and updating administrative procedures, reporting requirements, and departmental initiatives, including invoice entry and payment processing.

- Support stakeholder correspondence and follow-up.

- Provide administrative support for departmental budgeting, expense reporting, meetings, projects, and communications.

- Develop and maintain efficient templates, trackers, workflows, electronic records, and shared information systems.

- Use technology and automation to improve administrative efficiency and consistency.

- Act as a liaison with Senior Executive, Trustees, school administrators, Central Office departments, government, and external partners.

Corporate Services

- Coordinate Corporate Services projects, reporting cycles, information requests, agreements, forms, and departmental submissions.

- Assist departments with procurement documentation, agreements, contracts, leases, insurance documentation, legal correspondences, and related administrative processes as assigned.

- Maintain organized records for contracts,



agreements, insurance, legal matters, procurement, and other Corporate Services documentation as assigned.

- Support administrative coordination of privacy, access-to-information, records-management, and other confidential Corporate Services processes as assigned.

Education Services

- Support administrative components of the Education Plan, Annual Education Results Report (AERR), locally developed courses,, and submission of provincial test markers, as outlined by Alberta Education and Childcare.

- Work with the Student Information System (SIS) Support & Data Specialist and schools to compile and validate class size and related information.

- Review and submit SPSD scholarship and bursary applications for approval by Deputy/Associate Superintendent, Education Services.

- Coordinate student discipline hearing committee processes.

- Maintain and support the processes for Student Records Management requests and disposal of, and support Administrative Assistants' with Digital Student Record data integrity procedures.

- Provide backup support to the Superintendent/CEO Office and Board of Trustees during absences of the Executive Assistant to the Superintendent/CEO and Board Services.

- Support time-sensitive Board and Superintendent Office functions, including meeting coordination, correspondence, Board materials, records, and other priority matters required for continuity of operations.

What you bring

- Post-secondary education in Business Administration, Office Administration, Public Administration, or a related field, or an equivalent combination of education and experience.

- Minimum three years of progressively responsible senior administrative or executive support experience; five years preferred.

- Advanced proficiency with Microsoft Office, Google Workspace, and collaborative digital platforms.

- Experience with data analysis, executive-level document preparation, and electronic records management.

- Experience with Student Information Systems, Alberta Education applications, education, government, or public-sector environments is considered an asset

- Exceptional organization, communication, time management, and attention to detail.

- Strong analytical, problem-solving, project coordination, and technology skills.

- Ability to independently manage competing priorities, frequent interruptions, and inflexible deadlines.

- High degree of discretion, judgment, diplomacy, confidentiality, and political awareness.

- Ability to build positive working relationships and provide responsive service across the Division.
