Catholic Social Services is currently seeking an HR Volunteer in Edmonton to join our talented, diverse and fun team!
Job Overview:
The Human Resources Volunteer supports the organization and maintenance of HR records, completion and updating of process documentation, and structured reviews of HR processes and supporting records. The role helps improve document accessibility, consistency, completeness, and audit readiness under the direction of the Vice President, Human Resources.
Job Summary:
Primary job duties will include, but are not limited to, the following:
- Organize HR SharePoint libraries and folders using approved structures, naming conventions, and metadata.
- Review files to identify duplicates, outdated material, missing information, inconsistent naming, or documents stored in the wrong location, and recommend or complete corrections as directed.
- Update document indexes, inventories, trackers, and status logs so records can be located and monitored efficiently.
- Assist in completing, updating, and formatting incomplete HR process documents, procedures, checklists, templates, and work instructions using information provided by the HR team.
- Support process audits by following approved audit tools, sampling methods, and checklists; recording objective evidence; and accurately documenting findings.
- Access to approved templates, naming conventions, trackers, audit tools, and reference documents required for assigned work.
- Assigned process documents, procedures, checklists, templates, and inventories are completed or advanced for supervisor review.
- Documentation gaps, inconsistencies, duplicates, and outdated materials are clearly identified and tracked.
- Process audit work is completed accurately, objectively, and in accordance with the approved scope and audit tools.
- A explicit record is maintained of work completed, outstanding items, findings, and required follow-up.
- Handle confidential, personal, and organizational information with discretion and follow all privacy, information-security, records-management, and access requirements.
- Work only within assigned access permissions and immediately report any privacy concern, access issue, missing record, or suspected error to the Volunteer Supervisor.
- Participate in regular check-ins, seek clarification when source information is incomplete, and refrain from interpreting or changing policy without approval.
What This Job Requires:
- Police Information Check (PIC) current within six (6) months
Knowledge, Skills, and Ability
- Strong organizational skills and close attention to detail.
- Intermediate proficiency with Microsoft 365, particularly SharePoint, Word, Excel, and Outlook; experience with document libraries, file naming, metadata, or version control is an asset.
- Ability to follow established instructions, templates, and review criteria consistently.
- Ability to compare records, identify gaps or inconsistencies, and document observations objectively.
- Clear written communication and the ability to prepare accurate notes, trackers, and summaries.
- Sound judgment, reliability, discretion, and a strong commitment to confidentiality and privacy.
- Ability to work independently within an agreed scope while asking questions when information or direction is unclear.
- Previous administrative, documentation, audit, or SharePoint experience is an asset.
