Our client, a well-established law firm, is seeking an experienced Legal Assistant to support its busy Construction Litigation practice. This is an excellent opportunity for a skilled legal support professional who thrives in a collaborative environment and enjoys taking an active role in keeping a litigation practice organized and running efficiently.
Working closely with the lawyers on the team, the successful candidate will be involved in the day-to-day management of litigation files, including document preparation, deadline management, court-related procedures, billing, and general practice administration. The ideal candidate is organized, resourceful, detail-oriented, and confident managing multiple priorities while providing reliable support to a busy practice.
Responsibilities
This role will include:
- Providing day-to-day administrative and legal support to lawyers handling construction and commercial litigation matters.
- Preparing, editing, proofreading, and finalizing pleadings, correspondence, and other litigation-related materials.
- Ensuring court documents are properly prepared and compliant with applicable Ontario court procedures and requirements.
- Coordinating court filings, service of documents, and other procedural steps throughout the lifecycle of a matter.
- Tracking limitation periods, court dates, deadlines, and other key milestones and ensuring appropriate reminders and follow-ups are in place.
- Managing calendars, meetings,
appointments, and scheduling requirements for the lawyers supported.
- Maintaining complete and well-organized electronic matter files and ensuring documents are appropriately saved and accessible.
- Communicating professionally with clients, opposing counsel, courts, and other external parties as required.
- Assisting lawyers with preparation for meetings, hearings, and other file-related activities.
- Creating and maintaining precedents, templates, and other practice resources.
- Supporting the administrative side of the practice, including monitoring docket entries and following up on outstanding time entries.
- Assisting with billing, including the preparation and distribution of client accounts.
- Generating accounts receivable, productivity, and other practice-related reports as required.
- Identifying upcoming needs and priorities and taking initiative to help lawyers stay organized and ahead of deadlines.
- Performing other administrative and practice-support duties as required.
Requirements
You are the ideal candidate if you have/are:
- A diploma or certificate in Legal Administration, Legal Assistance, or a related program.
- 3-5 years of litigation legal assistant experience, ideally within a law firm.
- Experience in construction or commercial litigation is considered an asset.
- Strong knowledge of Ontario litigation procedures and the Rules of Civil Procedure.
- Experience managing litigation files, court documents, deadlines, and filings.
- Proficiency in Microsoft Word and Excel, along with experience using iManage, ACL, Soluno, or comparable legal software.
- Strong organizational, communication, proofreading, and attention-to-detail skills.
- Able to manage competing priorities, work independently, and collaborate effectively as part of a team.
- Comfortable learning new technologies and adapting to changing practice needs.
- Strong time-management skills, with the ability to effectively prioritize multiple files and competing deadlines.

The expected compensation range is: $70,000-79,000 depending on experience and qualifications. Total compensation will include base salary and other benefits.
