Description The Sport Medicine Centre in the Faculty of Kinesiology is currently seeking a Recurring Part-time Medical Office Assistant.

This position reports to the Clinic Manager. It is part of the AUPE Collective Bargaining Unit and is a recurring part-time position. The schedule is variable and can be up to 35 hours per week. Daily work performance is monitored by an employee for completeness, accuracy, conformance with standard practices and established methods and procedures.

There is a high volume of telephone calls and interaction with the public and co-workers. Good communication, telephone and computer skills are essential elements of the position and will occupy a significant part of the total working time.

The Sport Medicine Centre is an integrated and multidisciplinary clinical, education and research facility within the Faculty of Kinesiology, specializing in the treatment and rehabilitation of sport related and other musculoskeletal injuries.

The Sport Medicine

Centre provides comprehensive sport medicine, surgical, physiotherapy, and other health care services to Olympic, professional and amateur athletes; recreationalists and other patients referred to us through the health care system in Calgary and southern Alberta.

Summary of Key Responsibilities (job functions include but are not limited to):

Reception Services

- Speaks with a transparent speaking voice and pleasant telephone manner while using good communication skills to ensure that information is accurately received and given by telephone. Must be proficient in spoken and written English. Medical terminology is an asset.
- Operates required office equipment including telephone, fax machine, scanner and photocopier; computers, software programs including, MS Office (Word/Excel) and medical software programs.
- Adapts to changing procedures and policies as needed.
- Ensures regular work attendance.

Client Services
- Aware of all of the Centre's programs and services.
- Provides clients with information about the Centre in a courteous manner.

Communications/Relationships
- Establishes and maintains good relationships with staff in other campus units and other individuals external to the Centre.
- Works as an integral member of the health care unit to successfully complete various tasks for which this position is accountable.
- Provides support to co-workers during high stressful situations and assists them to meet their deadlines.

Specific Tasks and Duties
- Schedules patient appointments.
- Answers the telephone, places telephone calls, screens and relays telephone calls, refer calls to the appropriate person.




- Receives visitors for appointments or general inquiries.
- Pulls and updates patient files or electronic medical files daily.
- Performs routine filing including sort, group, index materials, revise or update files as directed.
- Performs invoicing and billing duties such as print/mail invoices and reconcile outstanding invoices.
- Performs routine cashier duties such as receive and register cash, credit or debit card payments, gives change, issues receipts, cashes out and reconciles cash balances.
- Completes daily deposits to Accounts Receivable.
- Completes monthly Account Receivables and Collection tasks.
- Demonstrates standard work procedures or operations to less experienced staff.
- Completes monthly supplies and sales product inventory and submits supply orders for stock replenishment.

Qualifications / Requirements

- Completion of level of education equivalent to Grade 12 and completion of a medical office program is preferred.
- Previous medical office experience would be an asset in both physician and allied health.
- Good organizational skills are essential to successfully handle the multi-tasking of this position.
- A clear speaking voice and pleasant telephone manner along with good communication skills are required to ensure that information is accurately received and given by telephone.
- Demonstrated ability to operate required office equipment such as computers, telephone, fax machine, photocopier.
