Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Perform data entry tasks accurately using tools such as Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes
- Maintain organized filing systems—both physical and digital—to ensure quick retrieval of documents and compliance with record retention policies
- Provide exceptional customer service by addressing inquiries promptly and professionally, supporting clients, vendors, and team members
- Assist with appointment scheduling, calendar management, and coordinating meetings or events to optimize office workflow
- Support clerical functions such as proofreading correspondence, preparing reports, and handling incoming and outgoing mail
- Perform basic bookkeeping duties using QuickBooks or similar software to track expenses and manage invoices
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with data entry, filing systems, and clerical tasks in a professional environment
- Excellent customer service skills with the ability to handle front desk responsibilities gracefully
- Familiarity with multi-line phone systems and phone etiquette standards
- Knowledge of QuickBooks or other bookkeeping software is highly desirable
- Previous medical or dental office experience is a plus but not required; familiarity with medical/dental office procedures is advantageous
- Strong typing skills along with proofreading abilities to ensure accuracy in all communications
- Ability to multitask efficiently while maintaining professionalism in a fast-paced setting
