Hiring Unit:

Schulich School of Music - Admissions

Position Summary:

The Admissions Assistant plays a key role in supporting the Admissions Office at the Schulich School of Music. Under the direction of Admissions and Recruitment Officer, the incumbent may perform some or all of the listed general administration functions. These functions are of high complexity, and the incumbent performs them using general instructions.

Key Responsibilities:

- Provide accurate information regarding admissions requirements, deadlines, application procedures, supporting documentation and other relevant student information (for both undergraduate and graduate levels at the Schulich School of Music).
- Respond to routine inquiries from prospective students, applicants, families, and other stakeholders by email, online systems, telephone, in person and virtual service platforms.
- Escalate complex or sensitive inquiries to Admissions Officer or appropriate staff members.
- Reviews and verifies the completeness of digitally submitted application materials and identify missing documentation for follow-up.
- Assist with the preparation and distribution of routine admissions communications through approved digital channels.
- Assist with the administration of auditions, interviews,



portfolio reviews, and other admissions assessment activities.
- Support admissions by processing admissions recommendations and decisions.
- Prepare undergraduate scholarship offer letters and assist with related communications to admitted students, ensuring accuracy, completeness, and adherence to established deadlines and procedures.
- Assist with special projects and other administrative duties as assigned.

- Dynamic and enthusiastic individual with exceptional interpersonal skills and a customer-focused approach.
- Strong verbal and written communication skills, with the ability to interact professionally with diverse stakeholders.
- Proven organizational and time-management skills, with the ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
- Self-motivated and adaptable, with the ability to work independently and collaboratively in a rapid-paced environment.
- Demonstrated knowledge of music, including instrumental and vocal ensembles, repertoire, and performance activities.
- Proficient in Microsoft Office applications, particularly Word and Excel.
- Basic proficiency in French is considered an asset.
