We're looking for a skilled and experienced Customer Service Representative to join our CSR and Sales Support team, responsible for professionally and promptly handling inquiries from both the Sales teams and customers.
Our CSR ensures that all print and marketing production project specifications are accurate and transparent, preparing detailed production dockets with all pertinent information for the pre-press and production teams. The role also involves supporting Sales efforts, organizing and reviewing all changes and revisions from start to finish, creating labels for stock and supplies, and arranging shipping and local courier services.
Responsibilities
- Provide exceptional, customer-centric service to both internal and external clients.
- Receive and acknowledge all inquiries from the Sales team and clients regarding upcoming projects.
- Respond to Sales team and customer inquiries in a timely, professional manner.
- Support Sales with client communication, quoting information, and follow-ups as needed.
- Verify project specifications for clarity and accuracy — client info, parts/components, production sizes, required stocks, print/manufacturing process, quantities, finishing, packaging and fulfilment, installation, and shipping instructions.
- Prepare detailed production dockets with all pertinent information for the pre-press and production teams.
- Receive and organize files for pre-press review and spec verification.
- Coordinate with pre-press to arrange client proofs for approval.
- Submit proofs to Sales and/or clients as appropriate, and follow up on approvals.
- Confirm stock availability with the production team, or place new stock orders upon management approval.
- Create and monitor labels for stock and supply receivables, ensuring completion by the production team.
- Review final pre-press files upon client approval.
- Keep docket folders updated with all instructions, especially after changes.
- Create shipping labels based on package count, dimensions, and weight.
- Arrange and optimize local courier scheduling.
- Maintain the "Jobs in Progress" master list on Google Docs.
- Perform final quality control review of projects prior to shipping.
- Perform other duties as assigned.
Requirements
- Minimum five years of customer service experience in the printing or manufacturing industry; Sales experience an asset.
- Strong English communication skills, both verbal and written.
- Ability to work under pressure and meet deadlines.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office Suite, Google Docs, and email platforms.
- Strong organizational and time-management skills.
- Comfortable working in a team environment and with cross-functional teams.
- Must be a legal resident of Canada.
Bonus Skills
Not required, but a plus: CRM software experience, bilingual communication, or other skills that add versatility to the team.
Schedule
- Variable shifts (morning and afternoon), generally Monday to Friday; may occasionally include weekends.
