Role Overview
As a Project Coordinator, you will support our Commercial Tenant Improvement projects from construction start through closeout. In this role you own the day-to-day scheduling, procurement tracking, cost and billing preparation, and documentation that keeps a project moving — working under one or two Project Managers and acting as a key liaison between project teams, clients, and subcontractors to ensure projects are executed efficiently, on time, and on budget.
What You'll Be Responsible For
Project Coordination & Scheduling
- Maintain and update detailed project schedules day to day, track deadlines, and organize meetings for TI projects.
- Prepare the 3–5 day look-ahead for Project Manager review.
- Own procurement execution: issuing purchase orders, tracking material and equipment deliveries (including long lead-time items), and managing inventory.
- Coordinate subcontractor schedules and site access to minimize disruptions and maintain productivity.
- Support scheduling inspections, permitting, and compliance with local building codes and tenant-specific regulations.
- Maintain the punch list and deficiency log, and follow up on trade completion ahead of project closeout.
Documentation & Administrative Support
- Maintain comprehensive project documentation including lease agreements, scopes of work, change orders, architectural drawings, permits, and correspondence.
- Draft and track change order requests, communicating potential impacts on schedule and budget to the Project Manager.
- Provide administrative support, including contract administration and document control tailored to project requirements.
Cost & Billing Support
- Prepare and maintain cost-to-date reporting for Project Manager review and validation.
- Prepare client billing and invoices for Project Manager approval, and support accounts receivable follow-up to ensure timely payment.
Communication & Collaboration
- Act as a liaison between project managers, clients (building owners or tenants), architects, subcontractors, and suppliers to ensure clear communication and efficient workflow.
- Prepare progress reports, project status updates, and budget tracking in collaboration with project managers and accountants.
- Utilize project management software effectively for scheduling, documentation, and reporting purposes.
Success In This Role
- Projects stay on schedule and on budget through proactive day-to-day coordination of timelines, subcontractors, inspections, and material deliveries.
- Project documentation is consistently accurate, organized, and up to date,
including permits, drawings, contracts, and change orders.
- Cost-to-date reporting and client billing are prepared accurately and on time for Project Manager review and approval.
- Communication between project managers, clients, tenants, subcontractors, and suppliers is clear, timely, and solutions-focused.
- Change orders, procurement activities, and project risks are tracked closely, with potential impacts identified and communicated early.
- The punch list and closeout log are current, enabling smooth, on-time project closeout.
What You Bring
- Proven experience coordinating commercial construction or tenant improvement projects.
- Solid organizational and time management skills to track multiple projects and deadlines.
- Excellent communication and interpersonal skills to coordinate with clients, subcontractors, and internal teams.
- Detail-oriented with strong documentation and reporting abilities.
- Experience preparing cost reports, billing support, or working within GC project accounting workflows is an asset.
- Proficiency with project management software and standard office applications.
- Ability to work independently while supporting one or more Project Managers.

Salary: CA$55,000.00-CA$75,000.00 per year
