The Recruitment and Campus Visit Coordinator plays an important role in creating welcoming, engaging, and well-organized experiences for prospective students and their families. This position leads Ambrose's campus visit program and on-campus recruitment events, supports inquiry engagement and follow-up, and oversees the Student Ambassador program.

Working closely with the Recruitment & Admissions team, faculty, and student ambassadors, the Coordinator helps prospective students experience Ambrose personally while contributing to the University's annual recruitment and enrolment goals.

This is a highly relational and service-oriented role requiring strong organization, initiative, and the ability to create meaningful experiences for prospective students. Some evening and weekend work will be required.

Reports to: Manager, Recruitment & Admissions

Supervises: Hourly Student Recruitment Ambassadors

Duties and Responsibilities

Campus Visits and Recruitment Events — 65%

- Coordinate and continually improve Ambrose's on-campus recruitment experiences, including Fall and Winter Open Houses, Preview Days, program-specific events, and other recruitment events.
- Plan and coordinate individual and group campus visits to ensure prospective students and their families receive a welcoming, informative, and engaging Ambrose experience.
- Train and equip Ambrose students to provide effective campus tours for prospective students and their families.
- Work closely with the Recruitment & Admissions Assistant to coordinate campus visit planning, logistics, and follow-up.
- Establish annual targets and goals for campus visits and monitor progress throughout the recruitment cycle.
- Manage campus visit bookings and related information within JRM.
- Collaborate with faculty and other campus partners to ensure recruitment events effectively showcase Ambrose's programs, community, and student experience.

Recruitment and Student Ambassador Program — 35%

- Recruit, hire, train, schedule, and supervise part-time Student Recruitment Ambassadors.
- Work with the Manager, Recruitment & Admissions and faculty to establish appropriate training, expectations, and recruitment goals for Student Ambassadors.
- Develop ambassador schedules that support weekly and monthly prospective student contact goals and broader enrolment priorities.
- Provide day-to-day supervision, coaching, and support to Student Ambassadors.
- Assign prospective student inquiries and leads for telephone, text, or email follow-up, including appropriate messaging and scripts designed to support prospective students through their decision-making journey.
- Motivate and coach Student Ambassadors toward individual and team goals.




- Monitor ambassador activity and prepare reports on weekly outreach, engagement, and completed actions.
- Recruit and coordinate a team of approximately 15–20 volunteer ambassadors each semester to support campus events, youth group visits, and other recruitment initiatives.
- Develop and deliver training for volunteer ambassadors at the beginning of each semester.
- In collaboration with the Manager, develop semester-based inquiry communication plans across channels such as telephone, text, and email.
- Monitor inquiry activity and provide monthly reporting on engagement and follow-up.

Qualifications

Education and Experience

- Bachelor's degree required.
- Minimum of two years of experience in a post-secondary recruitment, admissions, student services, or closely related setting.
- Experience coordinating events and managing multiple priorities.
- Experience supervising, training, coaching, or coordinating students or part-time employees is an asset.

Skills and Capabilities

- Strong ability to plan, organize, train, and support a professional student-led contact centre.
- Excellent customer service and relationship-building skills, with the ability to create a welcoming experience for prospective students and families.
- Ability to quickly develop and maintain strong knowledge of Ambrose's undergraduate and graduate programs, admissions processes, and student experience.
- Strong administrative and technology skills, including proficiency with Microsoft Office and the ability to learn and effectively use JRM and other recruitment systems.
- Comfortable using technology, automation, and digital tools to improve routine processes and prospective student engagement.
- Strong event planning and coordination skills.
- Confident hosting individuals, families, and groups for campus visits, presentations, and tours.
- Ability to manage multiple projects simultaneously, including events, training programs, communication plans, and ambassador activities.
- Strong written, verbal, interpersonal, and problem-solving skills.
- Excellent organizational and time-management skills.
