Service Coordinator
The Service Coordinator supports the Service Manager and/or Service Supervisor, as well as branch personnel, in carrying out assigned administrative duties, including but not limited to: establishing first contact with customers, scheduling technicians, managing vendor and subcontractor relationships, ordering job-site materials, maintaining warehouse inventory, generating and processing invoices, handling customer calls, assisting with customer complaint resolution, preparing reports, and coordinating travel arrangements.
The Service
Coordinator reports to the Service Manager or Operations Manager.
Job Responsibilities
- Work with Dispatch to schedule service technicians for service requests and fire inspections.
- Work closely with customers to schedule service calls, answer questions, and provide status updates.
- Approve technicians’ equipment orders for service tickets and ensure purchase orders are issued.
- Communicate daily with service technicians, providing support both on-site and while traveling.
- Manage vendor and subcontractor relationships, ensuring timelines, project accuracy, and project budgets are maintained.
- Order job-site materials and monitor supplier deliveries, including creating purchase orders through the SAP system.
- Maintain accurate inventory records and ensure accountability for products stored in the warehouse.
- Receive materials from suppliers, unpack shipments, and place items in the appropriate warehouse locations.
- Allocate receipts to the appropriate jobs and accurately file documentation in job files using the Astea system.
- Provide progress reports on service activities and task status to the Service Manager.
- Work with appropriate personnel to ensure purchase orders contain accurate information and invoices are processed in a timely and accurate manner.
- Communicate with the appropriate departments regarding customer complaints that may result in product issues, billing concerns, non-conformances, customer dissatisfaction, or significant product failures.
- Collect, summarize, and prepare data for key statistical and operational reports.
- Make and receive telephone calls.
- Manage inquiries from customers, employees, vendors, and other stakeholders.
- Assist in resolving issues or direct inquiries to the appropriate person or department.
- Maintain correspondence files and other related records.
- Open, sort, and distribute mail for the assigned area as required.
- Draft written responses to routine correspondence and inquiries.
- Assist with the preparation of presentations and review materials.
- Perform other administrative duties as assigned in support of branch management and staff.
