About the Role

Papa’s Herb is looking for a highly organized and detail-oriented Supply Chain & Commercialization Coordinator to support our growing Canadian operations.

In this role, you will coordinate activities across supply chain, inventory management, product commercialization, provincial distribution, and external production partners. You will maintain critical operational information, support product launches and provincial submissions, coordinate inventory and production requirements, and help ensure products and materials move efficiently through the commercialization process.

This position is well suited for someone who is comfortable working with data, managing multiple priorities and deadlines, and coordinating with internal teams and external partners in a fast-paced environment.

What You’ll Do

Inventory & Supply Chain Coordination

- Issue and track work orders and coordinate raw material ordering and inventory.
- Monitor inventory levels across production partners and distributors.
- Identify and flag inventory risks, including potential return-to-vendor (RTV), rework, or supply concerns.
- Coordinate raw material transfers between production partners when required.
- Maintain accurate inventory information and support ongoing inventory planning.
- Participate in regular inventory reviews to identify upcoming requirements and potential risks.

Provincial Distribution

- Coordinate provincial distribution requirements and deliveries.
- Prepare required shipping documentation and advance shipment information where applicable.
- Complete and maintain weekly inventory uploads and stock-status information for provincial and distribution partners.
- Track provincial inventory and assist with order planning and fulfillment.
- Coordinate with external partners to ensure deliveries and required documentation are completed accurately and on time.

Sage & Data Management

- Set up and maintain new item IDs for raw materials and finished products.




- Maintain Bills of Materials (BOMs) and item master information.
- Enter and maintain purchase orders and order receipts in Sage.
- Maintain accurate internal product, inventory, and operational records.
- Support monthly sales kit preparation and applicable partner remittances.

Product Commercialization & Provincial Submissions

- Prepare and coordinate product call submissions for provincial boards, including OCS, AGLC, and BCLD.
- Complete product submission forms, attribute forms, specification documents, and other required documentation.
- Obtain and organize supporting documentation, including Child Resistant Certificates and applicable cannabis specification forms.
- Coordinate product information required for accessories, vape devices, and other applicable products.
- Maintain product specification sheets and ensure information remains current and accurate.

GS1, Product Information & SKU Management

- Create and maintain product barcodes through GS1.
- Coordinate retail product images and submit required images and barcode information to provincial distributors.
- Maintain the Master SKU list.
- Ensure product information, specifications, and supporting documentation remain accurate and up to date.

Packaging & Product Changes

- Coordinate packaging updates and changes with the graphic design team and external production partners.
- Support the approval process for new and revised packaging.
- Ensure manufacturers and production partners have the most current approved packaging designs.
- Coordinate applicable product and packaging change requests.
- Maintain current GS1 product images and related information.

Producer & Partner Coordination

- Coordinate regularly with producers, co-packers,



and other external partners.
- Support ongoing communication related to production, inventory, materials, documentation, and upcoming requirements.
- Follow up on outstanding items to help keep production and commercialization timelines on track.
- Coordinate samples and materials for sales initiatives when required.

Commercial & Costing Support

- Maintain and update COGS calculators and related product information.
- Support the organization and accuracy of commercial and supply chain data.
- Assist with identifying inventory risks and coordinating next steps with applicable teams and partners.

What We’re Looking For

- Post-secondary education in Business, Commerce, Supply Chain Management, Operations, or a related field.
- 2–4 years of relevant experience in supply chain, commercialization, procurement, operations, inventory coordination, or a related position.
- Experience in CPG, cannabis, or another regulated consumer products environment is an asset.
- Experience working with Sage or a similar ERP/inventory management system is preferred.
- Strong Microsoft Excel and data-management skills.
- Experience managing inventory, purchase orders, SKUs, BOMs, or product information is an asset.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Comfortable coordinating with multiple internal stakeholders, suppliers, manufacturers, and external partners.
- Ability to work independently while contributing effectively within a team-oriented team environment.

Nice to Have

- Experience with Canadian provincial cannabis boards or distributors, including OCS, AGLC, or BCLD.
- Familiarity with GS1 barcodes and product image submissions.
- Experience with product commercialization or new product launches.
- Understanding of COGS, inventory planning, and basic commercial calculations.
- Previous cannabis or regulated CPG experience.
