This is a collaborative, close-knit environment where employees work directly with clients and senior members of the firm, take ownership of their responsibilities, and develop a broad understanding of wealth management. The West Island office offers a professional setting with on-site parking and convenient access to transit and local amenities. A hybrid work arrangement is available.

Role Overview

This position was created to support the firm’s evolving business strategy and its continued commitment to delivering an outstanding client experience. As a Client Service Associate, you will play a key role in the day-to-day client experience by supporting Portfolio Managers and the operations team, coordinating client requests, and ensuring that accounts and records are managed accurately and efficiently.

The role is well suited for someone who is organized, detail-oriented, and comfortable working directly with clients. Experience in wealth management or financial services is an asset,



but the firm is equally open to candidates with strong transferable skills who are eager to learn and grow within the role.

Core Responsibilities

- Deliver consistent, high-quality client service and operational support to clients, Portfolio Managers, and the operations team on a daily basis
- Coordinate the account opening and onboarding process, including preparing documentation, tracking asset transfers, and following up on outstanding items
- Manage electronic-signature workflows end-to-end, from initiation through completion, escalating issues as needed
- Review and reconcile daily client activity reports, flagging discrepancies or items requiring follow-up
- Maintain accurate and current client information, records, tasks, and follow-ups within the firm’s CRM system
- Handle routine client inquiries professionally and promptly, involving the appropriate team member when a request requires additional expertise or authorization
- Coordinate client communications and follow-ups to ensure requests are resolved accurately and on time
- Assist clients with access to custodian and portfolio management platforms, coordinating the resolution of technical or administrative issues
- Act as a liaison with custodians and other service providers on administrative and operational requests




- Adhere to internal procedures and support the firm’s regulatory and compliance requirements through accurate documentation and careful process execution
- Provide general administrative and operational support to Portfolio Managers and team members as needed

What We’re Looking For

- Experience in client service, administration, financial services, or another professional environment where accuracy, organization, and follow-through are essential. Previous wealth management or financial services experience is an asset but not required.
- A university or college degree, or an equivalent combination of education and relevant work experience
- Familiarity with investment accounts, financial services, or regulated environments is an asset — training will be provided on systems, processes, and investment account administration
- Solid client service skills with the professionalism and judgment to communicate effectively with clients and colleagues
- Excellent attention to detail, organizational skills, and follow-through, with the ability to manage multiple priorities and deadlines
- A proactive, resourceful approach to problem-solving with a willingness to take ownership of tasks from start to finish
- Comfortable with technology — proficient in Microsoft Excel and Word, web-based tools, and CRM or client database systems
- Fully bilingual in English and French (written and spoken)
