- Partner directly with senior agency leads and Creative Operations Director to keep the department running smoothly
- Master logistics and resourcing frameworks supporting leaders and creative teams
- Manage complex calendars, proactively resolve conflicts and prioritize meetings
- Maintain professionalism and discretion when handling tasks
- Support team allocations and weekly capacity planning alongside Account teams
- Reinforce operational workflows across departments
- Flag timeline inconsistencies and cross-reference active schedules against project benchmarks
- Schedule and organize internal and external meetings, presentations, travel, appointments and reservations
- Coordinate office workshops and cross-departmental off-site sessions
- Liaise between executives, internal teams, clients, external partners and vendors
- Track project deadlines and follow up on leadership meeting action items
- Help lead vacation coverage and approvals
- Handle ad hoc requests and special projects
Requirements
- 2+ years of admin, customer service or executive support experience
- Bonus if experience is within a creative agency
- Handle sensitive information with discretion and confidentiality
- Resourceful problem solving and critical thinking skills
