Prepare, edit, format, print, scan and revise correspondence, memoranda, transaction documents, reports, forms, labels and other printed material Coordinate and disperse tasks to Document Specialists, Administrative Clerks, Billing Assistants and other resource groups Proofread documents and check formatting, spelling, grammar and clarity

Open, maintain, organize and retrieve large and complex paper and electronic files Work with Records Management and Administrative Clerks to create, maintain and store client files Update assigned lawyers' calendars, meetings, appointments, due dates and client-related activities

Coordinate lawyer travel arrangements, itineraries and travel expense reports Update client database contact names and addresses Coordinate client meetings, rooms, catering and audio-visual equipment Review and route incoming mail and faxes; process outgoing mail and faxes

Receive, screen and direct incoming calls and respond to routine client inquiries Assist with daily time entry preparation and finalization for billing Coordinate new Client and Matter openings with Finance, including KYC

Coordinate activities with Office Services, Marketing and other functional areas Provide backup support and proactively support assistants and legal teams Maintain and update job knowledge and technical skills through education opportunities

Perform other duties as assigned Requirements





Legal Assistant diploma or college certificate in office administration or Information & Communications Technologies or equivalent Minimum 3 years of experience as a legal assistant or as an assistant with experience ideally acquired in a professional services environment Experience in Real Property & Planning would be an asset

In-depth knowledge of business and legal terminology Strong attention to detail Superior word processing, spelling, proofreading and editing skills Capacity to perform duties with speed and accuracy Strong time management, organizational and multi-tasking skills

Ability to work under pressure to meet significant deadlines Ability to follow up on files and delays with minimal supervision High level of discretion and confidentiality Flexibility to occasionally work overtime
