This job advertisement is to fill an existing vacancy in the Administrative Professional (Employee Group). This is a fixed-term contract with advantages, concluding in January 2028.

About the Role

Reporting to Associate Director, Enrolment Operations & Policy, t he Manager, Scheduling & Examination Operations provides institutional leadership and operational oversight for the development, planning, coordination, and delivery of the University's academic timetable, examination schedules, and academic space allocation. The Manager collaborates with academic units and internal campus partners to support strategic enrolment planning, ensure regulatory compliance, and maintain a high-quality student learning setting.

The Manager,



Scheduling & Examination Operations provides leadership for the delivery of examinations to ensure all activities are conducted efficiently, securely, and in accordance with institutional standards.

T he Manager, Scheduling & Examination Operations will:

Provide institutional oversight of the operational use, assignment, and ongoing maintenance of academic teaching spaces ;

Resolve complex academic scheduling conflicts that require interpretation of policy, balancing of institutional priorities, and coordination across academic and administrative units;

Maintain parameters and oversee accuracy of data for the allocation of academic space in alignment with University policies, collective agreements, Accessibility requirements, and physical space characteristics;

Act as the primary liaison with Facilities Management on academic space readiness, renovations, temporary closures, emergency adjustments, and long range space planning implications;

Develop and maintain comprehensive timetables for all programs and sessions (Fall/Winter, Spring, Summer), ensuring accuracy, conflict-free schedules, and adherence to quality standards for students and faculty;

Collaborate with academic departments to align schedules with curriculum requirements, faculty availability, and approved program structures;

Resolve requests for timetable changes that fall outside policy or are constrained by resources;

Manage scheduling adjustments related to course registration management, including enrollment limits, cancellations, late additions,



and teaching space assignments controlled by the Registrar's Office;

Facilitate initiatives to enhance scheduling systems and software (e.g., BrockDb ) to improve efficiency , user experience , and enhance space efficiency ;

Manage the planning and administration of all mid‑term and final examinations, ensuring schedules are accurate and conflict-free;

Manage accommodations for students and c oordinate with Student Accessibility Services to ensure exam schedules and space assignments support the effective delivery of accommodated examinations;

Lead the hiring , training, and management of examination invigilators (Head Invigilators, Distance Exam Invigilators, and Exam Invigilators) ;

Ensure compliance with institutional policies, accreditation standards, privacy regulations, and COU guidelines; Produce reports and analysisfor senior leadership (AssociateDirector, AssociateRegistrar, AVPs) as required ; and

Negotiate andresolvecompeting space requestswith academic administratorstobalanceresourceuseandstudent/facultyneeds .

Please note: This position may require occasional evenings and weekends based on operational needs.

Key S kills and Experience :

An undergraduate degree in a relevant discipline (e.g., Education Administration, Business) or equivalent combination of education and experience;

Experience in academic scheduling, examinations, or related operations;

Demonstrated knowledge of University governance, academic regulations and academic structure and program requirements;

A strong understanding of University policies, procedures, guidelines and university systems and processes;

Understanding of Brock specific programs and how Scheduling database files/tables are
