Business Systems & Optimization Specialist WomenIn Need Society (WINS) is a Calgary-based charity dedicated to supporting womenand their families to thrive while running a successful thrift socialenterprise. TheBusiness Systems & Optimization Specialistsupports WINS in improvingbusiness systems, processes, reporting, and technology so employees can workmore effectively and leaders can make informed decisions. The role participatesin reviews and improvement initiatives for key systems, including Salesforce,ADP Workforce Now, accounting systems, and other business applications.
TheSpecialist works with departments to gather needs, improve data quality,strengthen reporting, simplify processes, and support system changes. The rolealso supports practical use of analytics, automation, and artificialintelligence to improve productivity and service delivery. The position workswith external consultants, software vendors, implementation partners, and WINS’Managed Service Provider when specialized expertise is required.
Duties & Responsibilities Business SystemsReview & Optimization Support reviews andimprovement initiatives for WINS’ business systems, including CRM, HRIS,accounting, retail, and other reporting tools.
Work with departmentleads and external specialists to gather information about system use, dataquality, reporting, workflows, controls, access, integrations, documentation,and support needs.
Contribute topractical recommendations and improvement plans that consider organizationalneeds, cost, risk, privacy, security, staff capacity, and long-termsustainability.
Support clear systemownership, reliable data, appropriate access, current documentation, useradoption, and continuous improvement.
Business ProcessImprovement Work withdepartments to understand operational needs, challenges, and objectives.
Identifyopportunities to leverage technology to simplify processes, reduce duplicationand manual work, strengthen controls, and improve service delivery.
Participate indiscussions with employees and leaders and help translate business needs intoclear process, system, data, automation, or reporting requirements.
Assist in preparingprocess maps, business requirements, workflows, test plans, and supportingdocumentation.
Supportimplementation of approved improvements and follow up on results.
Data Analytics &Reporting; Support departmentsin defining measures, data definitions, reporting standards, and businessrules.
Help improve thequality, consistency, accessibility, and appropriate use of organizationaldata.
Summarize findingsin clear language and contribute to recommendations for non-technicalaudiences.
Document datasources, ownership, refresh schedules, access needs, limitations, and reportingprocedures.
Bring togetherinformation from different systems to support operational, financial, program,people, and strategic decisions.
Create and maintainPower BI dashboards, reports, scorecards, and key performance indicators withguidance from business area leads.
Automation &Business; Technology Identify practicalopportunities to improve productivity and access to information throughautomation and artificial intelligence.
Develop simpleapproved solutions or coordinate support using Microsoft Copilot, PowerAutomate, Power Apps, ChatGPT, and other authorized tools.
Test solutions withusers, gather feedback, and improve them before regular use.
Help establishpractical goals for initiatives, such as time saved, fewer errors, improvedservice, stronger controls, or better access to information.
Promote secure andresponsible use of automation and AI in line with WINS policies, privacyrequirements, access controls, records-management expectations, and appropriatehuman review.
Create practicalguidance, templates, training, and documentation to support adoption.
Support the businessactivities required for system reviews, clean-up projects, upgrades,replacements, implementations, integrations, and data migrations.
Work with externalconsultants, software vendors, implementation partners, and WINS’ ManagedService Provider when specialized expertise is needed.
Assist in andperform documenting project goals, requirements, scope, responsibilities,timelines, deliverables, risks, and measures of success.
Support vendorselection by organizing demonstrations, gathering information, comparingoptions, and contributing to recommendations and business cases.
Assist with testing,data preparation, training, issue tracking, launch, and post-implementationsupport.
Track progress andsupport documentation and knowledge transfer from external partners.
Maintain records ofmajor systems, vendors, agreements, licenses, owners, renewal dates, risks,dependencies, and support contacts.
Change Management& Organizational Support Collaborate with thePeople & Culture team to support employees and leaders through changes tosystems, processes, reporting, and technology.
Develop user guides,training materials, communications, and other change-support resources.
Build trustedworking relationships and explain technical information in clear, practicallanguage.
Handleorganizational, employee, donor, client, program, and financial informationwith care and discretion.
Support planning,budgeting, policy development, risk management, business continuity, andcontinuous improvement related to systems, data, and technology.
Perform otherrelated duties as assigned.
Qualifications &Experience; 5-7 years of experiencesupporting business systems, reporting, process improvement, technologyprojects, data analytics, automation, or operational change.
Diploma or degree inBusiness Administration, Business Analysis, Information Systems, DataAnalytics, Technology Management, Computer Science, or a related field. Anequivalent combination of education and relevant experience may be considered.
Experience workingwith consultants, software vendors, implementation partners, or IT serviceproviders is an asset.
Familiarity withSalesforce, ADP Workforce Now, accounting systems, Microsoft Copilot, PowerAutomate, Power Apps, ChatGPT, or similar tools is an asset. Expert knowledgeof every platform is not required.
Knowledge of datagovernance, privacy, cybersecurity, responsible AI, change management,
andproject delivery is an asset.

Clear written andverbal communication skills and the ability to explain systems, data, andtechnology in simple language.
Collaborative andservice-oriented, with the ability to work effectively with employees, leaders,consultants, vendors, and technical partners.
Willingness to learnnew systems and seek specialized expertise when needed.
Sound judgment,accountability, discretion, attention to detail, and a commitment to secure andethical technology use.
Demonstratedcommitment to inclusion.
Eligible to legallywork in Canada and able to provide satisfactory results of a Police InformationCheck through Calgary Police Service or RCMP.
Working Conditions Standard officeenvironment with regular collaboration across WINS departments and locations.
Occasional travelbetween WINS sites and flexibility to support system launches, training, orproject activities outside regular hours when required.
