The Regional Social Services Branch of the Department of Families is seeking a Bilingual Administrative Secretary to provide essential administrative, reception, and office support services. As a key member of the team, you will help ensure the efficient delivery of programs and services by supporting staff, clients, and community partners across the region.
Duties
Provide reception and switchboard services and respond to general inquiries.
Deliver administrative support to regional programs and staff.
Coordinate meetings, schedules, mail, and correspondence.
Maintain accurate filing systems, records, and archived documents.
Process and verify expense claims, mileage submissions, and related records.
Support regional data management and administrative systems.
Provide administrative coverage at regional offices as required.
Perform other related duties as assigned.
Qualifications
Essential:
Experience performing varied administrative and clerical support in a fast-paced office environment.
Experience performing reception duties, including screening and directing calls, operating multi-line phone systems, and responding to client and public inquiries.
Experience handling sensitive information with confidentiality, discretion, and professionalism.
Experience working with Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint) or similar software applications.
Effective English verbal communication skills.
Effective French verbal communication skills.
Effective English written communication skills.
Effective French written communication skills.
Demonstrated ability to effectively organize and manage workload to consistently meet deadlines in a fast-paced work environment.
Strong interpersonal skills with the ability to work effectively and build relationships with colleagues and clients.
Ability to take initiative and work independently with minimal supervision.
Desired:
Experience creating and maintaining physical and electronic filing and tracking systems.
Experience with general office financial administration, e.g., processing invoices for payments.
