The Tradeshow Assistant plays a key role in supporting Evertz's presence at major industry events, including NAB, IBC, ISE, and InfoComm. This position is responsible for managing trade show equipment and inventory, coordinating shipping and customs logistics, staging and pre-wiring demo systems, and supporting booth setup and teardown both in the office and on-site. Working closely with Demo, Product Management, and Engineering teams, the Tradeshow Assistant ensures equipment is tracked, tested, and ready for deployment while helping to continuously improve event logistics and inventory processes. This is a hands‑on role suited to a highly organized, detail‑driven individual who is comfortable with physical work and occasional travel to support the variable trade show calendar.
Responsibilities
Support domestic and international trade shows by coordinating and supplying required support equipment and materials
Manage, test, and track non-Evertz trade show assets, including LCD displays, monitors, AV equipment, tools, and other support items
Maintain detailed inventory and logistics records, including shipping dates, event locations, durations, and return schedules
Coordinate the receipt, inspection, and return of trade show equipment
Ensure required equipment and materials are shipped on time
Track equipment returns and ensure all assets are accounted for following each event
Assist in the planning and execution of major industry events, including NAB, IBC, ISE, and InfoComm
Support booth design, floor layouts, under-carpet cable planning, and infrastructure requirements
Staging and preparing demo systems
Pre-wiring racks and equipment based on connection diagrams from demo team
Dismantle demo returns and repurpose equipment as required
Coordinate procurement and deployment of non-Evertz equipment and services
Work closely with Logistics teams to prepare shipping documentation, customs paperwork, and freight schedules
Coordinate loading and unloading of transport vehicles and shipping containers
Assist with custom booth elements, displays, and other special event requirements as needed
Maintain trade show storage and staging areas, ensuring equipment, cables, tools, and supplies are organized and readily available
Collaborate with Demo, Product Management, and Engineering teams to assemble and prepare demonstration systems for events
Prepare equipment for shipment, including packaging, labeling, inventory verification, and documentation
Liaise with internal teams to collect equipment and information required for event planning, shipping, and customs compliance
Support on-site trade show setup and teardown activities when required
Assist with continuous improvement of event logistics, inventory management, and trade show processes
Qualifications
High energy individual that can handle the variable tradeshow calendar
Robust organizational and project coordination skills with exceptional attention to detail
Proficiency with Microsoft Office applications, including Excel, Visio, Word, and Outlook
Experience with CAD software for floorplans, layouts, or design work is an asset
Ability to manage multiple projects and deadlines simultaneously
Learn independently to help with demo systems used at tradeshows / events
Strong communication and interpersonal skills with the ability to work effectively across departments and other parties (internal and external)
Comfortable performing hands‑on work, including equipment assembly, setup, packing,
and lifting of trade show materials
Experience with logistics, inventory management, shipping, or event coordination is preferred
Willingness to travel occasionally to support major trade shows and corporate events
