Position Overview:

Vancouver Island Business Enterprises (VIBE) is seeking a Property Manager for its Lower Mainland co-operative housing portfolio. The primary accountability for this position consists of assisting the Co-op Board of Directors with the management of their buildings and community. The position requires creative problem solving, good listening skills, patience, flexibility and facilitating the expectations of the Board of Directors.

Key Duties and Responsibilities:

Vancouver Island Business Enterprises (VIBE) is seeking a Property Manager for its Lower Mainland co-operative housing portfolio. The primary accountability for this position consists of assisting the Co-op Board of Directors with the management of their buildings and community. The position requires creative problem solving, good listening skills, patience, flexibility and facilitating the expectations of the Board of Directors.

Administration

- Prepare meeting packages at the direction of the Board
- Attend monthly Board of Director meetings and two general meetings per year
- Take minutes of Board of Director meetings and general meetings, as required
- Facilitate approval and payment of supplier invoices and other expenses
- Present financial statements at Board meetings
- Assist administration and finance departments in providing all necessary information and documents to the audit firm for the co-op’s annual audit
- Prepare letters and notices to Members and third-party stakeholders as directed by the Board
- Ensure co-op Members are not in arrears, address arrear issues, and advise the Board of Directors of arrears

Advisory Role:




- Assist the Board of Directors and co-op Members in adhering to the Co-operative Act, Rules, Occupancy Agreement and Policies of the co-op
- Assist the Board of Directors in ensuring adherance to PIPA (Personal Information Protection Act)
- Assist the Board of Directors with preparing annual budgets
- Prepare special resolutions as required

Support for Facility Maintenance:
- Assist with work order requests from the Members
- Obtain quotes for projects and repairs, as required
- Contact the necessary vendor to attend to repairs
- Maintain log of monthly and annual maintenance of building components
- Assist with creating a maintenance plan

Financial Support:
- Ensure income reviews are being processed in accordance with the FCHI-2 program and provincial subsidy programs as applicable
- Ensure housing charges are being collected
- Ensure arrears are being collected

Qualifications and Skills:
- Experience with Microsoft Word, Excel, SharePoint, Teams, and Zoom is required.
- Experience with Quick Books and Sage accounting systems is an asset.
- Time management skills, high accuracy and attention to detail are required.
- Demonstration of strong interpersonal skills and the ability to work independently with minimum supervision as well as within a team environment are required.
- Experience with or knowledge of co-operative housing is an asset.
- Experience in facility management is an asset.

Compensation and Benefits:
- $66,000 to $72,000 annual salary (depending on experience)
- Extended health and dental plan (available after the probationary period)
- This is a full-time, in-office position (40 hours a week).
- The hours of work are typically 8:00 am to 4:00 pm, however, the position requires some flexibility with hours to accommodate evening Board meetings.
- The position will require work at various locations throughout the territory and applicants .
