The Minnesota Department of Veterans (MDVA) is looking for a full‑time Human Resources (HR) Administrative Assistant to join our HR team in Administrative Services. The position is responsible for providing organizational support to the HR Division by updating HR systems and providing data (verification of employment;), performing support tasks, such as filing, length of service awards, retirement awards, milestone awards, establishing vacancy files, arranging meetings, preparing materials for scheduled trainings and meetings; preparing and distributing materials and information to support recruitment.

Minimum Qualifications

One year of experience providing administrative support in Human Resources functions in at least two (2) of the following areas:

Staffing such as recruitment, selection, retention

Maintaining and processing human resources data,

Responding to human resources related questions and inquiries,

Maintaining human resources files,

Conducting employment verifications and/or reference checks.

AND





Knowledge of purchasing sufficient to purchase materials such as supplies and make travel arrangements.

Customer service skills sufficient to respond to inquiries on a wide variety of Human Resources related questions with the ability to direct calls to appropriate staff members.

Computer software skills such as Microsoft Word, Excel, Outlook, Teams, Adobe, and PowerPoint are sufficient to develop, modify, and generate forms, reports, correspondence etc.

Experience in creating accessible documents.

Ability to effectively prioritize and organize competing demands sufficient to initiate and complete a variety of tasks independently and simultaneously.

Strong proficiency in writing and grammar skills sufficient to write, prepare and edit materials, using proper spelling, punctuation, and sentence construction.

Preferred Qualifications

Experience performing administrative support work for a work unit’s expenses and budget administration.

Experience designing, developing and maintaining web pages and/or SharePoint sites.

Experience using human resources information system (HRIS) (preferably SEMA4 or similar PeopleSoft HRIS).

Experience conducting employment verifications and/or reference checks using online hiring software such as Crosschq, Skill Survey or related system(s).

Experience using human resources information system (HRIS) (preferably SEMA4 or similar PeopleSoft HRIS).

Two (2) years’ experience in providing administrative support in Human Resources.

Additional Requirements

A Minnesota Department of Human Services (DHS) background check may be conducted on the top finalist(s) for the position(s). When conducted, a finalist must pass the DHS background check.
